ABOUT THE ROLE
The Volunteering Mobilization Advisor (VMA) is responsible for the mobilization and support of highly skilled and committed international volunteers who will contribute to the successful implementation of several Cuso International programs and project in countries where Cuso International implements volunteer delivery programming.
The Volunteering Mobilization Advisor is assigned to the Program Quality and Impact Team (PQI) and reports directly to the Manager of Volunteering for Development. The position entails working closely with the International Programs Team, Country Program Offices (CPOs), Resource Development Team and Recruitment Marketing Team to effectively recruit, select, assess, train, send, manage, and reintegrate Cuso International volunteers.
KEY RESPONSIBILITY
Placement Development, Volunteer Delivery and Management
Responsible for the update, customization and implementation of Cuso International’s Volunteer journey in collaboration with other members of the PQI team.
Work closely with Managers, Heads of Programs, and CPOs to ensure a strong understanding of annual volunteer delivery targets, funders, country program, partner, and beneficiary needs.
Lead the review and development of Placement Descriptions and other related documents to ensure marketability and alignment with volunteer skill sets offered by Cuso International.
Develop, contribute and implement the volunteering and PQI policies, procedures, systems, and other related documents.
Manage the Volunteer recruitment selection and placement process (including assessment, references, training, medical clearance, police checks, visa and work permits etc.) in collaboration with other members of the PQI team.
Manage volunteer-related data in the volunteer database.
Analyze global, regional and local requirements for volunteer skillsets and liaise with the recruitment coordinator to establish a strategy.
Responsible for volunteer management activities such as conducting regular check-in (or specific IE: Continuing Assessment) meetings with volunteers and escalating issues where necessary.
Forecast with CPOs in-kind contribution and adjust targets accordingly to achieve monthly and annual targets.
Process eligible expense claims for volunteers.
Report on recruitment progress to various stakeholders to ensure optimal placement fill rates and contribute to required monitoring and evaluation activities.
Conduct and Facilitate volunteering and system related training and refresher for CPOs staff.
Conduct welcome home calls/debriefings with returned volunteers to ensure that project and placement specific feedback is collected, followed up and used for country program/project and volunteer management improvements.
Act as main coordinator for respective country portfolios for volunteers between Canada Office and CPOs; negotiations, planning and management of expectations, communications support, and volunteer management support.
Provide accurate monthly statistics regarding volunteer delivery for respective country portfolios to support Annual Report and Annual Report Process
Recruitment Marketing, Outreach, and Communications Support
General
Stay abreast of political and socio-economic development as well as programming priorities in assigned areas.
Support in program development and design of project funding proposal as required based on regional/country responsibilities.
Support Philanthropy’s fundraising goals by contributing to storytelling and other funder reporting requirements and creation of material for outreach and communications.
Plan and participate in international missions to CPOs on an as-needed basis to perform recruitment training, volunteer management, and participate in meetings.
Undertake specific job-related additional responsibilities from time to time, as may be agreed upon with their Line Manager
Key Collaborations
POSITION REQUIREMENT
Essential
University degree in Political Science, Social Sciences, International Relations, Administration Communications and Marketing, International Development, or any other relevant field
At least 3-5 years of work experience in volunteer/consultant management or customers’ service
Effective communication skills in English and/or French and/or Spanish
Strong planning and priority-setting skills
Solid project management skills to plan, track, coordinate, organize, multitask, and manage changing priorities.
Ability to communicate and work effectively with people of diverse cultural backgrounds and multidisciplinary teams.
