Summary of Role:
As the Office Administrator, you will be assisting in the administrative tasks across the Mainstream’s businesses.
What You Will Do:
- Greet and assist visitors in a professional and friendly manner.
- Be responsible for distribution of post: receiving, delivering documents, letters…
- Be in charge of meeting room reservation; to prepare welcome drinks, refreshment when required.
- Be the primary contact person with vendors and service providers for office request, maintenance and repairs.
- Stationery and office supplies inventory management.
- Manage the offices budget and follow up Office Service Contracts.
- Create Purchase Request, submit Invoice and required documents related to monthly offices expenses and travel bookings.
- Arrange logistics, booking travel and maintain records of travel booked, including statistics on how far in advance travel is booked and changes requested in accordance with Mainstream travel and expenses policy.
- Support the visa application, work permit, TRC process and assist expatriates in relocation during their assignment in Vietnam.
- Work with the Group Head of SHEQ to put in place and maintain H+S (Health and Safety) processes and procedures for the office
- Organize team building activities and Happy Hours.
- Maintain filing system.
- Do other tasks as assigned by the Company.
What We Require:
- College or University graduation.
- At least 02 years of experience in the similar position.
- Ability to maintain in strict confidentiality all work and information assigned.
- Proven success and experience in office administration.
- Superb written and verbal communication skills.
- Strong time-management and multitasking abilities.
- Attention to detail and problem-solving skills.
- Proficiency with office applications, and aptitude for learning new software and systems.
- Fluency in English is a must.
