Temporary: 20- 25 hours/week (December 13, 2024 - April 29, 2025)
Schedule: Required to work evenings (Tuesdays & Thursdays) and full day on Saturdays; This is an on-site position.
Compensation: $26.00/HR
JOB ANNOUNCEMENT
Sacred Heart Community Service (SHCS), located in San José, CA is looking for a Temporary, Part-Time, Non-Exempt, VITA Site Supervisor in the Economic Justice Network Program in the Self-Sufficiency Department. The Coordinator supports the Volunteer Income Tax Assistance (VITA) Program. This individual must be highly organized, possess an ability to work flexibly and creatively, and have a passion for our mission – to change lives and impact poverty. For more than 60 years, SHCS has been one of the leading institutions addressing poverty in Santa Clara County through a strategy that combines meeting basic needs, offering tools for self-sufficiency, and engaging the wider community to be involved.
POSITION SUMMARY:
The VITA Site Supervisor will oversee the coordination and implementation of the 2025 Volunteer Income Tax Assistance (VITA) Program in collaboration with the Economic Justice Network (EJN) Organizing Coordinator and other VITA Site Coordinators. This role will focus on leading Sacred Heart’s virtual tax assistance efforts, ensuring seamless integration with the broader VITA program and Sacred Heart’s portfolio of programs and campaigns. Key responsibilities include organizing all aspects of the virtual VITA program, such as volunteer engagement, training, relationship management, member outreach, and program design.
RESPONSIBILITIES AND DUTIES:
Program Coordination (70% - 80%)
● Oversees scheduling systems for virtual tax appointments, including responding to all incoming inquiries, making reminder calls, and ensuring adequate show rates and timely document submissions.
● Represents SHCS in a virtual environment, trains, motivates, and builds relationships with volunteers to support long-term retention and leadership development.
● Leads and supports Virtual VITA Site Coordinators, tax preparer volunteers, and quality reviewers to ensure accurate and compliant tax preparation services.
● Collaborates with the EJN organizing coordinator before, during, and after virtual VITA sessions to assess progress, identify linkages to other programs and services, and implement process improvements.
● Provides clear guidance and timely responses to interdepartmental staff regarding processes and procedures for referring members to the virtual VITA program.
● Facilitates virtual intake processes, including greeting members, providing required tax forms, and reviewing completion of forms prior to referring them to virtual tax preparers.
● Oversees virtual eligibility assessments, intake processes, documentation, tax preparation, and referrals to other programs and services for VITA applicants.
● Ensures the completion of the electronic filing process for all tax applications, including review, assessment, and completion of the ITIN process within the virtual framework.
● Provides additional support to tax preparers volunteers and quality reviewers to ensure tax returns meet program standards and IRS compliance requirements.
Outreach & Engagement (10% – 10%)
● Maintains strong relationships with key stakeholders and members in the VITA network and supports engagement through one-on-one meetings, phone calls, emails, and online outreach for membership events and volunteering.
● Develops and nurtures collaborative relationships with community members, volunteers, and partners that will strategically position SHCS to build a community united to ensure that every child and adult is free from poverty.
● Assist with coordination and facilitation of volunteer appreciation activities at the end of the tax season.
Leadership (10% – 10%)
● Supports the core values of the organization by engaging members in our collective efforts.
● Provides support and training in the development of leadership among members and volunteers through program involvement such as co-leading programs.
● Maintain strong and professional communication with volunteers on the status and completion of all tax applications.
Other (10% – 10%)
● Performs other duties as assigned.
REQUIRED:
● Be an IRS certified tax preparer
● Read, speak, and write in English, Vietnamese and/or Spanish.
● Experience providing culturally competent, supportive services, and linkages to community resources.
● Positive attitude with great organizational skills.
● Strong commitment to our vision of a community united to ensure that every child and adult is free from poverty.
● Computer skills including proficiency in MS Word, Excel, Power Point, Google Suite and ability to quickly learn and develop proficiency with tracking database systems. Computer literacy with proficiency in MS Word, Excel, and PowerPoint required.
● Must be able to lift up to 25 pounds without assistance. Ability to lift up to 30 lbs. with assistance and up to 50 lbs. with assistance. The position requires computer use/walking/sitting/standing for 6 hours per day.
● Able to walk for an extended period of time. The physical demands described here are representative of what an employee encounters while performing the essential functions of this job. ● Must be available to work evenings and weekends.
PREFER QUALIFICATIONS AND EXPERIENCE:
● Must be able to successfully complete a background check, a DMV record check and qualify to be insured under SHCS driving policy.
● Access to reliable transportation.
REPORTING RELATIONSHIP:
The VITA Site Supervisor reports to the Economic Justice Network Organizing Coordinator.
COMPENSATION:
This is a temporary (December 13, 2024 - April 29, 2025), non-exempt, and full-time position paying $26/hour. This position does not provide SHCS-sponsored benefits except as required by law.
