Like all roles at Textile Exchange, this role will be primarily home-based; Textile Exchange is a US-based but remote-working organization with a global team. Candidates must be available to work across United States and European time zones.
Job Summary
For the last several years, Textile Exchange has experienced extraordinary growth. With this evolution and to support our ongoing impact, we need an experienced and effective Trademark Manager. This role will primarily be dedicated to managing the trademark lifecycle at Textile Exchange, including overseeing our trademark registration process; gathering supporting documentation and working with our external counsel to submit the needed applications; and maintaining, monitoring and prosecution of our growing suite of global trademark submissions from start to finish. Secondarily, this role will manage other intellectual property and copyright issues and generally, will help the Legal team in providing support across the organization to ensure standardization with the legal agreement processes and to answer legal questions. This position will sit on the Legal team but will also work closely with the Claims and Labeling team.
Expectations and Responsibilities
Global trademark prosecution and maintenance
- Organize all trademark related documentation in SharePoint.
- Track and maintain all trademark registrations across different countries.
- To the extent possible, assess and prepare for trademark filings, e.g. conduct trademark searches, research trademark laws and regulations, and prepare applications.
- Work across relevant internal teams to collect inputs for trademark applications, e.g. building out the regulations of use for certification trademarking.
- Submit trademark registrations and supporting materials, revise submissions and provide additional evidence as needed.
- Be the main point of contact for legal issues with trademarks and work with external counsel on trademark applications and other issues as needed, including ensuring they have the needed materials, forms, documentation, responses, etc. and ensuring that all is communicated in a timely manner so filing deadlines are met.
- Carry out related administrative activities, including docketing, budget tracking, reconciliation of costs, invoicing, sending documents for signature, and managing trademark Power of Attorneys (POAs), letters of engagement, and affidavits.
- Help develop Trademark License Agreement template and once in use, review and negotiate requested changes to Trademark License Agreements.
- Answer internal and external questions regarding the Textile Exchange trademarks and provide guidance on use of trademarks.
- Create and implement a strategy for trademark monitoring and enforcement related to misuse and infringements, which may include enforcement before the IP Office (oppositions, cancellations) and enforcement in the market (infringements).
- Create and implement a trademark and domain watch notice system.
- Identify risks (legal, financial, process, etc.) related to use or lack of use of trademarks or other IP owned by Textile Exchange and report into risk management system.
- Occasionally audit trademark portfolio to test the qualitative and quantitative characteristics, e.g. where we have IP, what are our rights, etc.
General IP, copyright and other legal support
- Manage and provide guidance on other intellectual property and copyright issues.
- Serve as an occasional backup to monitor the legal@ email inbox, support on template use and finalization, send contracts for signature through AdobeSign, review and complete internal and external forms, guide staff in line with legal procedures, etc.
- Support on general legal issues that arise, as relevant to area of work.
- Assist with completing, reviewing, finalizing, and monitoring contracts, as relevant to area of work.
- Save and organize legal documents in SharePoint and save fully executed agreements in Salesforce.
Other duties as assigned.
Experience
Required
- 5+ years experience with managing trademark prosecution as a legal assistant or paralegal focused on trademark or intellectual property law, in a trademark examination office, managing trademarks for a scheme owner or equivalent.
- Knowledge of US and international trademark law.
- Familiarity with the U.S. Patent and Trademark Office and other government agencies and their procedures.
- Knowledge of copyright and intellectual property laws and regulations.
- Excellent English verbal and written communication skills.
- A high attention to detail and careful organization skills.
- Strong multitasking and critical thinking skills.
- Self-motivated and able to work independently and collaborate effectively with the Textile Exchange remote team, external counsel and other stakeholders.
- Ability to adapt to changing priorities and business needs.
- Must be willing and able to work remotely/from home and must be flexible to communicate with multiple time zones outside of standard working hours.
- Proficiency with Microsoft Office Suite and Office 365 tools.
Preferred
- Familiarity with trademark management software tools, e.g. Anaqua, DIAMSiQ, IP Folio, etc.
- 3 years legal document/contract drafting and review experience.
- Knowledge of contractual agreements including financial, vendor, commercial, consultant, services, sales, licensing, etc.
- Experience working with international, multi-cultural communities.
- Experience working with people from diverse backgrounds and perspectives.
- Experience with Salesforce.
Qualifications
- Bachelor’s degree in a relevant field, completion of a paralegal program, or substantial relevant work experience.
Employment Package

- Full Time Position, 40 Hours a Week
- Location: Virtual/Remote
- Annual Salary Range: $62,000 - $94,000 USD
- To be filled as soon as possible (start date to be agreed between both parties)
- Our salary structures are location-agnostic, ensuring equal pay for the same role, irrespective of location. Final employment offers are determined based on the role, candidate experience, education, and other relevant factors, but not on location. Offers will be presented in the local currency of the candidate's permanent residence. Benefits are tailored to the region of the candidate's permanent residence and align with Textile Exchange’s regional employment packages.
