Systemic Justice/Equinox event coordinator

Equinox Initiative for Racial Justice and Systemic Justice are looking for a colleague who can help organise and execute a crossover event bringing together our community partners in 2024.

Position type: Part-time consultancy, two days (16 hours) per week

Duration: 6 months

Remuneration: EUR 33 per hour

Location: Remote, based in Europe (CET time zone +/- two hours)

Period: 1 January – 30 June 2024

About the role

Equinox and Systemic Justice are hosting a joint event in the summer of 2024, bringing together community partners from across Europe for four days of discussions and workshops on the intersection between technology and racial, social, and economic justice. The event combines Systemic Justice’s launch of its second comprehensive Europe-wide community mapping of racial, social, and economic priorities with Equinox’s convening on racial justice and digital rights.

The Events Coordinator will be the focal point for planning, organising, and executing all practical aspects of the event with the support of colleagues from Systemic Justice and Equinox. The Coordinator will be responsible for hands-on tasks including invitations, external service providers, developing event information materials, logistics, on-site coordination, and much more.

Equinox Initiative for Racial Justice is a people of colour-led initiative working to advance rights and justice for all people in Europe.  Equinox works in solidarity with a coalition of racial and social justice leaders and organisations to influence European Union law and policy. Equinox organises toward a world focused on justice, accountability and the allocation of resources toward community needs, rather than punishment, criminalisation and exclusion.

What you’ll do

The Events Coordinator will be responsible for:

  • Planning and organising all relevant logistics for the joint event, including supporting technical and logistical requirements of the event;
  • Working with external service providers and coordinating among them for the event;
  • Assisting in developing the agenda of the event and communication with participants;
  • Managing participant lists: invitations and RSVPs;
  • Assisting in managing the budget for the event;
  • Assisting communications colleagues on the external communication around the event;
  • Assisting in the preparation of event materials, and ensuring comprehensive documentation of the event;
  • Assist in follow-up to the event.

What we hope you’ll bring

  • Relevant professional experience planning, organising, and executing mid-size events with varied components;
  • Experience organising according to principles of community care and accessibility is essential;
  • Excellent project management skills;
  • Excellent written and verbal skills in English;
  • Attention to detail is essential;
  • Able to work effectively both as a team member and independently, with a high level of self-motivation; excellent organisational and interpersonal skills;
  • Proactive work attitude, including by prioritising between competing tasks and setting and meeting goals;
  • Demonstrable commitment to social justice and human rights is a plus;
  • Willingness to travel internationally for the event.

The deadline for applications is 29 October 2023 at 23.59 CEST.

We expect to do two interviews online and to be able to offer the position to the selected candidate by end of November for a start date in early January.

  • Tell us about a time when you coordinated an event (ideally of a comparable nature to what is outlined in the vacancy). What was your role, what did you learn from the work, and what was achieved?
  • What role has principles of community care and accessibility played in your event coordination experience so far?
  • Can you describe your process for handling competing deadlines and managing work pressure, particularly when working on multiple strands of work at the same time?
