Every summer, we serve over a thousand NYC children through our summer day camps, which combine sports instruction with creative movement, arts and STEM enrichment, field trips, swimming, and more. WHAT WE ARE LOOKING FOR:
Kids in the Game is hiring for Administrative Assistant Directors at our Riverdale and Inwood summer camp locations. The Administrative Assistant Director is responsible for being the Camp Directors director support for camp family communication, pre summer registrations and document collection, payments and invoices, and being the face of camp at drop off and pick up. You will be a vital part of the overall success of our camp family interactions and relationship building, plus all of our camp documents. Most importantly you will be providing a supportive, safe, and fun environment for the campers. As the Assistant Director in charge of Administration: They will report to the Camp Director and manage the camp’s operations and administration. This Assistant Director will be in charge of keeping track of weekly registration information, camp payments, helping to create weekly rosters and parent information sheets. They will be in constant communication with the parents about all things camp related topics alongside the Camp Director.
General Responsibilities:
Every week print list of families who are missing something (payment, forms, consent etc.)
Accept/ Check any payments, forms, and consents that are brought in
Enroll any campers/families on on-site computer if dropping in for camp
Every morning at camp work with the other directors to contact absent families
Work with the camp director to create weekly group rosters and make updates as needed
In charge of the daily snack shop coordination and distribution to campers
In charge of depositing money from payments/ snack shop weekly to Finance Director
Keep files of all camp family forms; medical, trip consents, swim lessons, etc
Keep all camp binders organized
Order office supply materials as needed
Make yourself available to parents for questions, concerns and praises.
Attend orientations, prepare a general outline for campsite, help formulate camp groups, assign staff to positions, preparing the site and conducting staff trainings. Dates TBD but likely Saturdays before camp begins
Ensure that all program equipment and supplies are ordered, available and properly maintained.
Recognize, prevent and correct safety hazards; guard the health and safety of all campers and staff.
Act as a key player in problem solving with staff issues, discipline and parental concerns.
Assume equal responsibility of general housekeeping tasks. This includes bagging trash, campsite clean-up, and bus clean up.
Demonstrate organizational skills and have a plan. Plan for the known and have a plan for the unknown
WHAT WE ARE GOING TO LOVE ABOUT YOU
Commit to 8 to 9 weeks of the summer Monday to Friday 730 to 445pm. Assist with after care if needed weekly; plus pre summer support starting in April
Be a lead of your camp and work collaboratively with Camp Director, other Assistant Directors and Division Leaders
Be the point person for registration and payments and communication about this with parents
Be there for the kids safety and always aware of what is going won with them and your staff
Communicate quickly and efficiently with supervisors and other senior team members. Use of organization wise communication channels and policies (Slack, Email, Text, Google Calendar, etc)
Attend and help lead mandatory Core Trainings and all staff team buildings, before and during camp season
Show enthusiasm and eagerness to learn new skills and tackle projects. Ask questions and be willing to take feedback.
Ability to establish and maintain effective working relationships with fellow employees, participants, parents and caregivers
Ability to communicate effectively and in a timely fashion with participants, families and caregivers, both verbally and non-verbally
Ability to solve practical problems in a variety of situations. Ability to interpret and understand instructions, both written and oral
