RESPONSIBILITIES
As a Senior Project Manager, you will work collaboratively with client teams in delivering for the agency’s Nonprofit, Foundation, Individual, and Corporate clients through effective development and management of timelines and resources against client scopes. From leading the development and management of project plans to crafting and managing processes and templates, you will leverage your expertise to support client teams in delivering against scopes effectively and efficiently in order to deliver maximum impact for our clients, their issues, and our business. This role has three primary areas of focus: 1. Client Project Management, 2. Resource Management, 3. Process Development, Codification, and Refinement.
Specific responsibilities include:
Client project management
- Set up new client projects in Wrike, including project plans, time tracking codes, and all other attributes that enable the team to execute effectively and for proper reporting.
- Develop executable project plans in Wrike for new client contracts to successfully kickoff the work, enable the team to begin executing work, and distribute the work properly across client team functions.
- Routinely and proactively audit and troubleshoot project plans as the needs of the work and the team shift.
- Create and closely project manage (on a day-to-day basis) priority client activations when more robust project management expertise and capacity is necessary for successful execution.
- Identify opportunities for contract burn to increase project profitability.
Resource management
- Assign and manage effort at the start of each new client and project in line with available resources and project’s profit margin target.
- Monitor project spend (internal hours and cost of services expenses) to identify resourcing adjustment needs and support the team and the agency in achieving profit margin targets while maintaining high delivery standards.
- Ensure proper time tracking across the agency.
- Develop and execute contracts and scopes for all vendors and partners.
- Provide hours and budget inputs for new client contracts, as requested by Business Development.
- Manage and maintain a detailed partner and vendor CRM, ensuring the team always has ample external resources to leverage and are able to source and onboard vendors efficiently.
Process development, codification, and refinement
- Leverage project management expertise to collaborate with the Delivery team to identify, implement, train, and refine delivery processes and templates that drive efficiency and quality of work. Ensure adherence across the agency to processes and templates.
- Develop and manage agency-wide knowledge systems, including but not limited to vendor and partner CRM, training knowledge base, etc.
- Identify and implement systems that allow for greater efficiency and effectiveness across client teams
This function reports to: EVP, Client & Talent Operations
QUALIFICATIONS
- You have at least 7 years of experience in managing complex, multi-faceted projects, from setting up timelines to delivering projects on time and within budget. You excel at developing and executing comprehensive project plans that align resources with client needs and strategic goals.
- We will prioritize candidates with experience in campaign agency environments, especially those familiar with Wrike or similar project management tools. Experience with nonprofit, foundation, or corporate clients is a plus.
- You have significant experience overseeing all phases of project management — from initial scope and budgeting through day-to-day tracking, contract management, and vendor coordination. You thrive in roles where attention to detail, proactive troubleshooting, and consistent communication are essential.
- You are skilled at resource management, with a track record of balancing the demands of multiple client engagements while optimizing team capacity and maintaining profit margin targets. Your ability to monitor spend, adjust allocations, and report on progress ensures projects meet both quality and financial goals.
- You are a systems thinker who takes pride in developing and codifying processes that improve efficiency and impact across teams. Whether setting up new delivery protocols, refining templates, or managing knowledge systems, you drive initiatives that support scalability and consistency in execution.
- You bring a collaborative approach to working with delivery teams, leveraging your project management expertise to develop processes, provide training, and guide the team toward consistent, high-quality results. You understand the importance of documentation, knowledge-sharing, and continuous improvement.
- You are a strong communicator and problem-solver, with the ability to navigate shifting priorities, manage change, and keep projects on course even in dynamic environments. You approach challenges with a solution-oriented mindset, always looking for ways to optimize processes and enhance client outcomes.
