Senior Payroll & HR Administrator

Location:  Geneva, Switzerland (Hybrid)

The Gold Standard’s Operation Team is seeking an efficient and detail-oriented HR & Payroll Administrator to manage payroll and HR tasks within a small, friendly team. This role demands strong organisational skills, attention to detail, and the ability to work independently while meeting tight deadlines.

This is a hybrid role, working from our offices in Geneva, Switzerland a minimum of 2 days a week. We will also consider cross border applicants from France who are able to commute to our offices, in line with the regulations.

Today, our standard, ‘Gold Standard for the Global Goals’, allows climate and development initiatives within carbon markets, corporate supply chains, and sustainable finance to manage, measure and maximise their impacts toward the Net Zero ambition of the Paris Agreement and the Sustainable Development Goals.

WHAT YOU WILL BE DOING:

As a Senior Payroll & HR Administrator you will be responsible but not limited to

  • Payroll processing: Executing the complete payroll process, from data entry to payment and the filing of all relevant documents. Support the overall payroll process for GSF staff in all locations, liaises with external payroll partners, local authorities and other GSF team members in charge of relevant related processes
  • Vendor Management: Maintaining the relationship for outsourced payrolls and ensuring timely communications of payroll information and deadlines.
  • Internal Controls: Performs internal controls prior to payroll validation, Responsible for keeping records of changes and updates to payroll. Processing of starters and leavers.
  • Pension and Social insurance coordination: Declaring accidents, illnesses, maternity leave. Managing all social security aspects (AVS declarations, Allowances, Withholding Tax). Coordinating with local authorities, pension providers and external providers/third parties.
  • Employee Support: Acts as in-house focal point for questions and ad-hoc requests linked to social institutions, pension funds, insurance coverages, certificates or other documents, in coordination with the HR Officer. Providing timely support to colleagues and managers for all requests related to payroll or HR administration. Deliver HR information to staff in English with a strong customer focus.
  • Record Keeping: Keeping track and recording hourly rates, wages, compensation benefit rates, new hire information, etc. and assisting the HR team to ensure absence is appropriately tracked and recorded and any payroll implications are identified and dealt with appropriately, e.g., sick pay entitlements, parental payments, unpaid leave, etc.
  • Year End Process: Ensuring accurate year-end formalities: year-end salary certificates as well as other periodical reports such as insurance statements, retirement insurance contributions and unemployment statements).
  • Team Collaboration: Coordinating and collaborating closely with the finance team for the monthly salary payments to employees and the relevant authorities.
  • Benefits administration: tasks including rollout of benefits packages in line with HR initiatives
  • Learning & Development administration: including but not limited to tracking training requests and supporting the coordination of L&D Platform
  • HR Administration: Supporting the HR team with HR administration or HR projects,  as required

WHO WE ARE LOOKING FOR:

  • BA in Human Resources, Finance, Business Management or equivalent preferred or a strong background in Payroll & HR
  • A minimum of 3 years of experience in a role involving similar tasks; previous NGO experience would be desirable.
  • Exposure to international compensation and benefits policies and challenges
  • Full proficiency in English and French
  • Excellent communication skills
  • Proven experience with people analytics

  • Ability to work independently and in a team, with minimal supervision
  • Strong time management and prioritisation skills.
