About the Project

The Electronic Management of Immunization Data (EMID) system is an innovative system developed by the National primary health care development agency (NPHCDA) which is being utilized for the management of data for COVID-19 vaccinations. The EMID system facilitates vaccination scheduling, real-time entry of clients’ data, collation, analysis and validation of clients’ data. However, the EMID system also faces some challenges which have greatly curtailed its potential to meet the country’s needs for the management of COVID-19 data, and in the future, Routine Immunization (RI) and Primary Health Care (PHC) data.

eHealth Africa (eHA) has been contracted by Global Alliance for Vaccines and Immunization (GAVI) to support the National Primary Healthcare Development Agency (NPHCDA) in the optimization of the EMID System in order to address these challenges. To deliver this project effectively, the eHA team works very closely with the NPHCDA ICT unit. The team also provides data analysis support as required.

Purpose of the position

The Senior Coordinator, Program Delivery is responsible for supporting the Project manager in managing all projects related activities. He/she will be responsible for the daily operation of the project through to close-out in accordance with the organization specific standard operating procedures (SOPs), guidelines, budgets, timelines and contracts.  He/She will assist with managing project budgets, tracking against milestones. In addition, he/she supports the Project Manager to lead and manage the project team(s)/partners, attend directly to partner concerns and coordinate effectively with the project team to have them addressed in a timely manner. The Senior Coordinator will also be expected to participate at relevant partner meetings. .

What you’ll do

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:

  • Assists the Project Manager in leading and managing the project team to ensure timely and effective completion of project assignments and other tasks
  • Carry out first level support on a PRINCE 2 related project management documentation
  • Works closely and effectively with Project Manager, researchers, directors, partners/clients, project team and outside consultants; and along with Program Manager,
  • Assists in scheduling, planning for, and documenting regularly scheduled project team meetings. Supports the assessment of project issues, proposes resolutions to the project team and then assists in tracking implementation of resolution through to completion
  • Assists in ensuring operational plans are developed consistent with project needs and strategies, including but not limited to, the development of communication plans, training plans, and timelines; supports in the monitoring of project progress as compared to established plans and ensures compliance with plans
  • Assists in facilitating and planning partners/client meetings as needed. Leads internal partner/client teleconferences and/or meetings and presents project information at partner/client meetings and weekly project review meetings
  • Attend strategic Group meetings (SG) with relevant government partners ensuring eHA’s full representation in all strategic decision-making engagements.
  • Serves as a resource to team members for all inquiries and issue resolution for site management, contract budget and remediation, and regulatory document preparation
  • Assists Project Manager with contract and financial management for assigned projects.
  • Assists in ensuring project budgets are tracked against contract milestones
  • Assists in evaluating project issues and supports execution of action plans to ensure resolution. Actively identifies and escalate quality and compliance concerns to the Project Manager.
  • Assists Project Manager in carrying out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Assists in ensuring audit / inspection readiness at site level. Contributes to audit/ inspection responses as part of a cross-functional project team.
  • Ensures compliance with laws and regulations.
  • Supports the completion of final inspections and reports for projects
  • May frequently travel if required.

Who you are

The requirements listed below are representative of the knowledge, skill and/or ability required to successfully perform this job.

  • B.Sc. degree in Public health, project management or a related field is required. A Master’s degree is an added advantage
  • Minimum of 5 years on the job experience in supporting project delivery. Experience with donor funded (USAID, Global Fund, FCDO etc.) projects is highly desirable.
  • Experience with stakeholder management particularly, government stakeholders at National and Sub-national levels.
  • Quick result delivery, adaptability and open mind to learning and development
  • Experience in project management e.g. as a Project Coordinator or in a similar role, from conception to delivery and close-out.
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Familiarity with risk management and quality assurance control.
  • Hands-on experience with project management tools.
  • Excellent interpersonal, communication skills, organizational skills and great attention to detail. Must be able to work as a leader and member of a team and possess good problem-solving skills.
  • Must possess the ability to motivate and supervise staff while promoting group effort and achievement.
  • Strong project management skills, including experience preparing high quality reports, scopes, schedules, and budgets
  • Must have the ability to manage conflicts and resolve problems effectively.
  • Must possess strong organization and prioritization skills.
  • Training and presentation experience is essential.
  • Must have flexibility in working hours
  • Proficiency working within specialized software utilized in the program

Language Ability

  • English is the spoken and written language. Fluency in local Hausa is an advantage.
  • Strong written and verbal communication skills
  • Ability to read, analyze and interpret general business periodicals, professional journals, or government regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, employees and the general public.
