Job Summary
This is a fantastic opportunity to join a mission-driven organization, working alongside a team of assistants. This role reports to our Chief of Staff and will be supporting our Stakeholder Engagement, Senior Director. As a Senior Assistant, you will provide a comprehensive level of organizational support to your director. As we are a global organization, this role will best suit someone who is adaptable and open to supporting multiple directors, across different time zones.
Like all roles at Textile Exchange, the role will be primarily home-based, although due to the location of the director, there is a preference for candidates based in the UK. Textile Exchange is a US-based, remote-working organization with a global team.
Core Responsibilities
Working efficiently and seamlessly to support your director.
Inbox management and correspondence - Sorting incoming emails by filing, prioritizing, and responding where appropriate whilst ensuring strict confidentiality.
Diary management - Prioritizing and rescheduling as necessary.
Management of all travel arrangements - Including transport, accommodation, itineraries, and visas when required.
Expense management - Reconcile monthly corporate card charges and reimbursements as required.
Proactively ensure adequate meeting preparation, including relevant documents and briefings.
Record and disseminate notes and follow-up actions when required.
Utilize internal systems (Salesforce, ClickUp, etc.) and ensure they are being updated accordingly on behalf of your director and their platforms.
Maintain a working knowledge of priorities and follow up on key deadlines, deliverables, and action items until completed.
Support with presentation creation, formatting, proofreading, help with building reports and information in a digestible and presentable format.
Draft communications on behalf of your director for both internal and external use.
Build effective relationships across all levels of the organization, from the Leadership team to junior colleagues, to ensure you’re connected to what’s going on.
Know ‘who’ across the organization can provide you with critical information, and support as needed.
Liaise with internal team members and external partners on behalf of your director.
Work closely with the Chief of Staff and Assistants when required to arrange and execute team meets, virtual and in-person.
Liaise with the Events and Communications teams to coordinate media requests and industry invites.
Support with our annual conference and work closely with the Communications and Events teams to ensure deadlines are met.
Work proactively to give key reminders of upcoming activities and support as required.
Get involved with projects and provide support/research on an ad-hoc basis.
Be resourceful and able to work autonomously across a complex organizational structure.

Full time position, 40 hours a week
Location: Virtual / remote
Salary range: £50,000 – £65,000
Start date: As soon as possible
