The Recruiting Associate is an integral member of HR’s recruiting team, which includes 6 other staff members. Under the direction of the Program Manager, Recruiting Operations, the successful candidate will provide administrative support to provide excellent service to both our internal and external stakeholders, promote Earthjustice’s recruiting efforts nationwide, ensure the successful completion of our hiring processes, keep the team organized, and provide coverage, as needed, when recruiting team members are out. They will also serve as the lead to manage certain administrative aspects of the recruiting team, such as the sourcing of our roles and the recruiting team’s events calendar, while centering Earthjustice’s mission and values.
This is a full-time (37.5 hours/week) position with a regular, weekly schedule that will enable the Recruiting Associate to be reasonably available to teams based in all U.S. time zones (e.g., 8:30am-4:30pm PT or 10am-6pm ET). The successful candidate may work remotely or on a hybrid schedule from one of Earthjustice’s offices within the contiguous U.S.
RESPONSIBILITIES:
General Operations (60%)
Leading Efforts:
- Serve as the lead in posting roles to our applicant tracking system, Jobvite, and website.
- Manage the posting for all Earthjustice jobs to various job boards (“sourcing”) by drafting and assigning sourcing menus, identifying new candidate sources, maintaining records of sources and sourcing costs, and ensuring sourcing deadlines are met.
- Serve as the lead for processing candidates’ background checks and troubleshooting any issues with the background check platform.
- Act as the team’s meeting manager by organizing agendas for weekly recruitment team meetings, ensuring team meetings are on everyone’s calendars, and delegating meeting tasks, etc.
- Manage the team’s recruiting events calendar by registering the team for various recruiting events, supporting the planning and execution of events the team hosts, ensuring all the recruiters have access to Earthjustice merchandise, keeping record of all the events the team attends and hosts, etc.
- Draft and circulate standing reports, including a monthly Executive Leadership Team report, weekly Attorney Hiring report, and monthly Temporary Hire report.
- Manage the team’s records by updating and archiving files according to our document retention policies, including reference notes, job descriptions, offer letter templates, training documents, sourcing costs, etc.
Supporting Efforts:
- Support processing candidates’ conflicts checks with the lead recruiters and the Legal Operations team.
- Assist in screening applications.
- Draft and send offer letters via DocuSign in coordination with the lead recruiters.
- Support the hiring, onboarding, and offboarding of all non-traditional hires – about 5 temporary hires at any given time and about 100 students hired annually – by sending out onboarding information to semester students, ensuring onboarding and offboarding IT forms are submitted and approved, liaising with external staffing agencies and hiring managers, etc.
- Support training any new staff that joins the recruiting team.
- Become a super-user of the technological resources the team uses, such as Jobvite, ADP, HiPeople, HoneIt, and Monday.com to provide support, as needed, to the recruiting team, hiring team members, and external users.
- Support recruiters with calendaring steps in the hiring processes, such as interviews and debrief meetings, with the hiring teams.
- Support in tracking and reconciling team’s expenses.
- Support recruiters in ensuring hiring managers are trained and are following policies.
- Other duties as needed.
Communications (35%)
- Serve as the lead responder to messages sent to the recruiting team’s externally facing account, jobs@earthjustice.org.
- Provide support to ensure all internally and externally facing webpages are up to date and without errors, including the organization’s intranet sites, public-facing webpages, posted job descriptions, etc.
- Assist in fielding questions from other Earthjustice staff about their open roles, hiring policies, best practices, etc.
- Communicate with applicants through our applicant tracking system in coordination with the lead recruiters and hiring managers, such as sending out invites to interview and rejections.
- Represent Earthjustice at various recruiting events.
Professional Development (5%)
- Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; and participating in professional organizations and conferences.
- Participate in conferences, trainings, webinars, affinity groups, and conversations to continuously deepen understanding of diversity, equity, and inclusion.
- Participate in committees as appropriate.
QUALIFICATIONS:
- 2+ years of relevant experience.
- Passion for Earthjustice’s mission.
- Strong desire to grow within Recruitment and Human Resources, preferred.
- Advanced skills in MS Office Suite, including calendaring through Outlook, and Zoom.
- Experienced in learning new systems and platforms quickly.
- Strong attention to detail and organizational skills, including a keen eye for proofing and editing.
- Great communicator, both verbally and in writing.
- Ability to work effectively with highly sensitive and confidential information with sound judgement and discretion.
- Experience in handling a diverse workload and regularly switching gears.
- Works well within a team and independently.
- Experienced working in a remote/hybrid setting, a plus.
- Customer service experience, a plus.
- Calendaring and scheduling experience, a plus.
- Project management experience, a plus.

COMPENSATION:

Salaries at Earthjustice are determined by experience level and working location. The salary ranges are:
- San Francisco, CA or New York, NY: $73,400 - $81,500
- Chicago, IL; Los Angeles, CA; Seattle, WA; or Washington, D.C.: $69,800 - $77,500
- Denver, CO or Philadelphia, PA: $66,100 - $73,400
- Bozeman, MT; Houston, TX; Miami, FL; or Tallahassee FL: $62,400 - $69,300
- Remote from other locations within the U.S. varies but will fall within $62,400 - $81,500
