Project Specialist

SWCA Environmental Consultants is expanding their team and looking for a Staff II Level Project Specialist to support the Portland, Maine office. This individual will be a proactive problem solver who enjoys supporting a diverse group of technical specialists and delivering a proficient level of work.

The candidate chosen to fill this position will have a broad range of skills to work with office Project Managers to both support database management in the energy utility market and be responsible for providing a suite of office administrative support activities, including document production and mailing, organizing project records and files, inventorying and purchasing office supplies, maintaining vendor accounts, expense reconciliation, and other tasks as necessary. This position requires the ability to work both independently as well as coordinating well within the project team.  The individual in this position will need to maintain a high attention to detail and have strong time management skills.

This is a part-time (26 to 34 hours per week), hourly position with potential to convert to full-time. This position reports to the Office Director. Pay will be based on individual qualifications and experience.

What you will accomplish

  • Support a key client database system to track and compile environmental permitting needs for projects and communicate with SWCA Project Managers regarding distribution of project assignments.
  • Use of strong written and verbal organizational and communication skills.
  • Independently performs (or executes through others) routine technical tasks.
  • Performs data QA/QC, tracking, synthesis, and analysis.
  • Interfaces directly with client to update project managers on database projects permitting status with input from SWCA Project Managers and task leads.
  • Performs budget review and prepares routine purchase orders and change orders to support assigned database projects.
  • Handles document production and mailing, organizing project records and files, inventorying and purchasing office supplies, maintaining vendor accounts, expense reconciliation, and other tasks as necessary.
  • Assists with client invoicing.

Experience and qualifications for success

Required

  • Minimum of a High School diploma or demonstrated equivalent.
  • Demonstrated proficiency in Microsoft Word, Excel, Power Point (preferably Version 2010) and Adobe.
  • Must have a current and valid driver’s license and ability to travel to and work from the office up to three days a week.
  • Excellent communication, multi-tasking, and interpersonal skills with the ability to represent the company in a professional manner and meet tight deadlines in a fast-paced environment.
  • Willingness to jump into various types of tasks and learn new things to support our team as needs arise.
  • Ability to write and communicate clearly.

Preferred

  • Associate degree or higher in business, administration, office technology or a related field.
  • Three to five (3-5) years of experience in office management, logistics, or administrative assistance experience.
  • Experience with additional software applications such as Adobe Acrobat Professional.
