Background

The Project Management Team at CLEAR Global handles a wide range of exciting projects, including language services, voice data collection, research, and technology initiatives. We rely heavily on Asana, Slack, and several other tools for daily task and project management, with different types of projects being managed in different ways. We are looking for a volunteer intern to assist in the streamlining and optimization of the current tools and processes, including a review of how we use and store documentation on our drive.

Objectives

The main objectives of the internship are to:

  • Support with analyzing the existing Asana usage across various project types. With input from the team, suggest optimizations and prepare standardized Asana templates and automations as needed, to ensure consistency, improve Asana usage, and enable better monitoring and reporting across the team.
  • Review the existing usage of Google Drives and folders within the team, get input from the team and prepare a plan for re-organizing into a Project Management team Drive directory.
  • Following updates to how we use Asana and store information in the new Project Management team drive, update the existing project management guidelines to reflect these changes, ensuring that the team has up-to-date documentation they can consult.

The role

The Project Management Organization Intern will play a crucial role in enhancing the efficiency and structure of CLEAR Global’s Project Management (PM) operations. This role offers the opportunity to gain valuable experience within an international non-profit organization, gaining insight into project management processes covering a large variety of projects. This is a high-impact role perfect for someone passionate about organization, efficiency, and leveraging technology to solve operational challenges.

Responsibilities

  • Conduct a comprehensive review of how the existing Project Management team uses Asana across different projects to identify inconsistencies and redundancies.
  • Identify bottlenecks, repetitive manual work or areas or improvement in how the team uses Asana. Suggest the implementation of Asana rules and automations, resulting in measurable time savings for the Project Management team.
  • Gather feedback from the Project Management team on the usability of the suggested changes and propose adjustments to further enhance efficiency.
  • Review and map the existing usage of Google Drives and folders within the team.
  • Suggest ways to optimize access to critical project information, templates, and archives, reducing the time the team spends searching for documents.
  • Propose a plan of reorganising of the documentation into a Project Management drive, including suggestions on a clear, standardized naming convention and folder hierarchy for all project-related materials, ensuring consistency across the entire department.
  • Presenting the plan to the Project Management team, gather their feedback and implement the new folder structure, with support from the team.
  • Review and update the existing project management guidelines in line with the suggested changes, with input from the team.

Qualifications

  • Enrolled in or recently graduated from a University degree program (preferred degree in project management, communication, or a related field).
  • Knowledge of Asana or another project management tool is highly desirable.
  • Some experience in using cloud storage and file organization systems, particularly Google Drive, including knowledge of folder permissions, sharing settings, and file migration techniques.
  • Knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace (Docs, Sheets, Slides) for creating documentation (e.g., SOPs and training guides).
  • Excellent command of English. Knowledge of other languages is an advantage.
  • Previous coursework or experience that demonstrates an understanding of basic project management principles or organizational structures is a plus.
  • Previous experience working with non-profit organizations is desirable.
