About the opportunity
SWCA Environmental Consultants is seeking a Project Controls Analyst to join us and support our West Region operations in Arizona, California, Hawaii and Nevada. This is a newly created position and has the potential to be remote or based out of any of our West Region offices. The ideal candidate will be located within the Pacific time zone and will be part of a dynamic culture in a climate where people are motivated to bring their best work to help us grow and prosper. This is a full-time, salaried position with a typical work week of 40 hours per week, depending on workload. Some projects may include overtime to meet deadlines.
What you will accomplish
- Assists with project setup and development of work breakdown structures within SWCA’s project accounting system (Deltek Vision).
- Work closely with project managers, the project controls manager, and senior staff to proactively anticipate program needs and respond to client requests.
- Work closely with project managers and project accounting specialists to review client invoices.
- Develop and monitor project metrics, develop dashboards and collaboration sites to assist with project/program cost monitoring and status communication to project/program management teams
- Develop reports for project managers including cost and hours monitoring, and the tracking of subcontractor expenditures.
- Answer questions from project managers and senior management resulting from project analysis and status reporting. Bring critical issues to the immediate attention of appropriate management personnel.
- Work with project managers on change orders based on analysis of the reports and identification of potential problem areas.
- Managing subcontractors – establishing subcontractor work authorizations, reviewing invoices against budget, and communicating contract requirements as subcontractors’ main point of contact.
- Assist with contract review to understand and ensure compliance with contract requirements.
- Assisting with development and revision of standard operating procedures and program policies.
- Actively participate and spearhead project controls related topics at program management.
Experience and qualifications for success
- Experience with tracking and monitoring unit fee project billing structures.
- Proficient with Microsoft Excel, Smartsheet reporting and dashboards.
- Team and customer service oriented, detail oriented, self-motivated, flexible, and results driven.
- Strong people skills and reasoning ability to solve practical problems.
- The ability to work independently and with project managers, staff, subcontractors, and client representatives.
- Able to ‘multi-task’ regularly with multiple deadlines.
- Excellent organizational and administrative capabilities.
- Superior verbal and written communication skills.
Required Qualifications
- Bachelor’s degree in finance/business or a related field
- At least 5 years of experience with an environmental and/or A/E/C firm with relevant project controls or project coordination experience involving project management and financial tracking.
Preferred Qualifications
- Demonstrated proficiency in Deltek Vision or similar project accounting software.
- Motivated self-starter and ability to think creatively.
- Familiarity with federal environmental protection laws.

An employee in this Pasadena, CA based position can expect an annual salary of $72,540.00-$92,430.00/year. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
