About this role
The Advocacy Program Assistant provides administrative assistance, coordination and facilitation of scheduling and meetings, tracking of goals and deliverables, and communications support. This position serves an important role, enabling efficiency, consistency, and seamless communications across the shared leadership duties of four directors (collectively referred to as the “Quad”) within the Advocacy Arm.
The Advocacy Assistant aids the Quad Directors in executing leadership duties and achieving the aims of the arm’s restructuring plan, while monitoring and catalyzing work towards operational and programmatic priorities. The Assistant ensures diligent facilitation of synchronous and asynchronous meetings, deft calendar management and travel assistance amidst varied time zones, and process improvement across a fast-moving and diverse international team.
Principally supporting and aiding the four leaders of the Quad, the Advocacy Assistant also works in coordination with other arm directors and the Executive Director as necessary. The Program Assistant reports through one designated Quad leader for direct supervision purposes.
What you will do
Ensure diligent documentation and coordination of Advocacy arm leadership initiatives, under the guidance of its Directors and the Quad “Chair,” and complete tasks that assist in their completion of their duties. The tasks may include setting up agenda documents, taking meeting minutes, identifying tasks and outcomes in documents, noting locations of documents and other resources, etc.
Support management and development of the Advocacy arm operational and strategic plans, and presentation and follow-up, as needed. Tasks may include porting plans, strategies, and evaluations into internal-facing powerpoint presentations and similar outputs.
Contribute to travel and event planning, management, and assistance, as requested, with particular attention to RightsCon events and team retreats.
Assist with evaluation and regular reporting on Advocacy team programmatic work, plans, and metrics to other arms of the organization (including our Development team) and external partners as needed.
Assist in budget development and tracking, including through coordination with the Finance team.
Assist with the tracking and documentation of work plans, tasks, partner commitments, and stakeholder requests coming to the Advocacy team, aid the team in follow-up and management of responsibilities. Work closely with other documentation coordinators and administrative assistants across the Advocacy arm and organizational leadership.
Drive operational efficiency by enabling channels for increased coordination and information flow within the Advocacy Arms and with the wider organization.
Help organize internal Shared Drives and other digital workspaces, and support the collation and dissemination of resources.
Enable the Chairperson of the Quad to develop the role and its responsibilities, and ensure consistency in handover between rotating Chairs.
Assists in global implementation of the annual RightsCon summit series
Performs other duties as assigned

The Details
Location
This is a full-time position, with preference for placement in Latin America or North America, in order to align time zones of meetings. The successful candidate must possess the right to work in the location in which they will be based. At this time most Access Now Team Members are working through hybrid office arrangements, combining remote at-home work with intermittent use of offices and/or co-working spaces.
Remuneration
Access Now offers competitive compensation - in line with skills, preparation, and depth of experience - and benefits packages that align with our Team Members' locations, and our office presences. Examples of anticipated, initial placement within the salary range for this role include:
$3,500 CAD gross monthly (Canada)
$1,750 USD gross monthly (San José CR)
$3,975 USD gross monthly (United States)
