NRDC is seeking a Program Assistant to work with the Nature Program team in our Chicago office or San Francisco office.

Position Summary

NRDC is seeking a Program Assistant to help support multiple Chicago and/or San Francisco office staff who work in NRDC’s Nature Program. The Program Assistant will provide administrative support to the team in a variety of capacities, including budget and grants management, invoice and contracts processing, scheduling of internal and external meeting, making travel arrangements, proofreading and preparing written materials, and performing basic research (as needed). On occasion, addressing general needs within these programs will require collaboration with program assistants in other NRDC offices. The work of NRDC’s Nature Program includes fighting to defend our nation’s bedrock wildlife laws, protecting pollinators and other keystone species from exploitation and toxic pesticides, and safeguarding our critical wild lands, waters, and oceans.

Responsibilities

  • Serve as a critical member of the Nature Program team by providing general administrative and logistical support to Nature Program staff;
  • Budgeting and accounting support including processing invoices and monthly expenses, tracking budgets, and maintaining contracts and financial records;
  • Work with internal subject matter experts to coordinate grant proposals, renewals, and report submissions;
  • Managing and maintaining paper and electronic filing systems and databases;
  • Scheduling and organizing meetings and assisting with event planning and management, which may require working with external parties;
  • Proofreading, formatting, and helping prepare and track legal documents, advocacy letters, reports, fact sheets, and other project materials;
  • Researching questions related to advocacy as needed;
  • Assist with the development and/or drafting of blogs and reports;
  • Assisting the receptionist and other program assistants as needed;
  • Occasional travel; and
  • Performing other duties as assigned.

Qualifications

  • Bachelor's Degree with at least 1 year of administrative experience, preferred.
  • High degree of technical proficiency with Microsoft Office including Word, Excel, PowerPoint, and Outlook;
  • Proactive, solutions-oriented, effective written and oral communicator, with the ability to solve problems and skillfully balance competing interests;
  • Desire to contribute to the work of dynamic teams and pitch-in to take on discrete tasks when required;
  • Strong interpersonal and active listening skills with a collaborative working style;
  • Well-developed organizational skills, with an eye toward details, and proven ability to manage tasks and relationships in a complex/matrixed organizational structure;
  • Ability to work both in a team setting and independently, organize and coordinate multiple tasks, set priorities, follow organizational procedures, and perform quickly and accurately under deadlines;
  • Demonstrated commitment to principles of equity and inclusion, including contributing to an inclusive working and learning environment; and
  • Commitment to NRDC’s  mission and values.

We offer competitive salaries, excellent benefits, and a supportive working environment. Salary is based on a nonprofit scale and is commensurate with skills and experience. For this position, the salary is $50,000 to $55,000.

Since March 2020, NRDC’s offices have been closed due to the COVID-19 pandemic. You will be associated with one of our offices, but until circumstances allow us to re-open, we will continue to support NRDCers with remote working arrangements.
