About HOT
Humanitarian OpenStreetMap Team (HOT) sits at the nexus of participatory mapping, community-led development, humanitarian response, open data and tech. With a talented and diverse team spread around the globe, HOT is an NGO which supports a dynamic global community of thousands of dedicated volunteers using maps and open data for humanitarian response and the Sustainable Development Goals. Working with humanitarian and development partners like the Red Cross, Médecins Sans Frontières, UN agencies, governments and others, the HOT community maps in solidarity with those affected by or at risk of disaster, contributing the maps and data aid workers need to do their lifesaving work.
In 2020 the work of the HOT community was recognized by TED’s Audacious Project, a collaborative philanthropic initiative that serves as a springboard for social impact on a grand scale, leading to an exciting new phase of growth. HOT is expanding its activities: opening four regional hubs and scaling up its support to local mapping communities with the audacious goal of mapping an area home to one billion people in 94 countries at high risk of disasters or experiencing poverty - mapping with communities before they are in crisis.
About the Open Mapping Hub - Asia-Pacific (OMHAP)
The Open Mapping Hub - Asia Pacific (OMHAP) is one of four regional open mapping hubs supported by the Humanitarian OpenStreetMap Team. The purpose of the OMHAP is to serve the OpenStreetMap movement in the Asia-Pacific region; provide decentralized support and services to the OpenStreetMap local communities; power the evolution and growth of OpenStreetMap data; and play a significant role in creating sustainable OSM ecosystems in the region in order to maximize the impact both for improved humanitarian and social impact. OMHAP’s vision is to “create a sustainable OSM ecosystem in the Asia-Pacific region” and aspires for the following: (1) Government, humanitarian and development agencies commonly use OSM data in their planning and decision-makings; (2) Underrepresented people actively participate in the OSM movement; (3) OSM data used as the most preferred choice in entrepreneurial and economic activities; and (4) OSM is the most popular map service among citizens. We work in 25 priority countries in the Asia-Pacific region.
Role Profile
The People Operations Associate will play a crucial role in supporting the human resources and administrative functions of AP Hub. This position is responsible for executing a range of people-related tasks, ensuring compliance with organizational policies and legal requirements as well as carrying out administrative and operations work. The role will make a significant contribution to the overall well-being and effectiveness of our workforce. The People Operations Associate will work closely with the HOT’s Central People Ops team, and the AP Hub team to foster a positive, productive and inclusive working environment. The candidate should be able to work within a fast-paced international team.
Key Responsibilities
Handle HR-related queries from employees and provide timely and accurate information.
Support the implementation and maintenance of HR policies and procedures ensuring necessary compliance in cooperation with the central HR team.
Maintain an online filing system, in collaboration with the central IT team.
Assist in the coordination of the end to end recruitment process within the Hub, including job postings, candidate screening, and interview coordination and contracting.
Support the onboarding process for new hires, ensuring a smooth transition into the organization.
Contribute to fostering a positive workplace culture through engagement initiatives.
Assist in identifying and addressing skill gaps within the organization.
Coordinate coachings, training sessions and personal development programs for staff.
Support conflict resolution and advise on employee relations matters.
Support travel management & bookings for conferences, staff meetings, etc.
Research and advise on new systems and processes for operations and HR.
Lead the annual submission, processing of renewal of business permits, and statutory filings in the Philippines, in coordination with the Finance team.
Support the Regional Director as an Executive Assistant.
Triage external requests for meetings with the Regional Director and work with HOT staff and partners.
Serve as the point of contact within the Asia-Pacific region for operational and HR-related concerns and requests, and redirect them to the appropriate individual/team if necessary.
Support new vendor identification, procurement, due diligence and onboarding.
Support payroll and benefits administration for hub staff.
Support diversity & inclusivity initiatives.
Lead planning and running of Asia Hub in-person meetings and provide support to other international HOT events, as necessary.
Review and route contract amendments of the Asia-Pacific regional team.
Review and approve timesheets for the Asia-Pacific regional team on BambooHR.
Other tasks as assigned.
