Position Summary
Responsible for performing all payroll and payroll accounting functions for U.S.-based and international contract staff, including preparation and verification of payrolls, ensuring proper statutory and voluntary deductions, maintenance of payroll records, coordination with payroll service providers for preparation of federal, state, and local government reports and tax filings, retirement plan contributions and flexible spending account deductions. This position will report to the Deputy CFO.
Position Responsibilities
- Coordinate with Human Resources on approval of payroll and retirement plan payments and changes. Develop annual calendar for payroll processing.
- Maintain a process to monitors changes in payroll, tax, and reporting procedures.
- Finance liaison to work directly with payroll service provider (ADP) and 403(b) and 401k (Principal).
- Supports Accounting with reconciliations of all payroll related accounts. Input ADP General Ledger Interface (GLI) files into financial system (Deltek). Work to identify and reconcile variances in the Job Cost Variance GL. Review Letter of Credit invoices for accuracy and enter interest accruals.
- Enters payroll and pertinent benefit general ledger entries into Deltek Vantagepoint.
- Prepares and enters payroll journal entries and cash disbursements for all international employees.
- Submits payments for 403b and 401k retirement plan contributions and FSA contributions to Principal and Discovery respectively. Track employee and employer contributions to ensure accuracy before submission. Prepares YTD reports for Third Party Administrator.
- On an annual basis, prepares and presents audit reports for external auditors, retirement plan (403b) auditors and workman’s comp auditors.
- Contributes to the development of payroll policies and procedures.
- Provides support to staff on payroll questions by researching and interpreting data.
- Support Finance with 990 compensation schedules and 5500 finance activities.
- 940 and 941 reconciliations
- Adhoc task assigned by CFO or Deputy CFO/Controller.
Position Qualifications
- Bachelor's degree in Accounting or Finance; or equivalent years of experience.
- 10+ years of relevant work experience
- Developing expert in the area of Payroll and Benefit Accounting
- Knowledge of state and federal employment laws relating to key areas of responsibility
- Excellent customer service skills.
- Multilingual is a plus; Spanish is preferred.
- Proficiency in ADP (Workforce Now and Comprehensive Services) or comparable payroll software platforms
- Proficiency in Microsoft Office software (Word, Excel, Access, and Power Point).
- Ability to operate self-sufficiently with minimal guidance and decisions from others.
- Excellent at multi-tasking with a positive, can-do attitude.
- Effective in maintaining the confidentiality of Accion compensation and benefits data.
