Payroll Administrator

🇺🇸 Minnesota, US 📝 FULL-TIME

Overview

The Payroll Administrator is primarily responsible for all aspects of payroll processing and preparation in a fast-paced environment.  The Administrator ensures accuracy and efficiency of bi-weekly multi-state staff and AmeriCorps member payrolls. Work will be performed with high levels of customer service, data integrity, and consistent with local, state and federal wage and hour laws as well as AmeriCorps rules and regulations. The Payroll Administrator will observe confidentiality of all staff, member, vendor, and organizational matters.

Responsibilities

Payroll (80%)

  • Process and reconcile bi-weekly payroll for staff and AmeriCorps members.
  • Monitor time tracking submissions to ensure timely payroll submission
  • Establish/maintain employee records according to policy and in compliance with federal/state/local regulations.
  • Process manual checks as needed.
  • Calculate and process exception transactions including, new hires, terminations, and leaves of absence.
  • Troubleshoot Direct Deposit Banking Issues/ACH Rejects
  • Create exception reports to maintain the accuracy and integrity of the HRIS system.
  • Partner with program, human resources and member benefits and compliance staff to resolve payroll issues and ensure accurate accounting of all payroll related costs.
  • Adhere to Federal and State payroll and tax laws and AmeriCorps regulations as it relates to payroll processing.
  • Maintain payroll records to ensure accurate and timely year-end reporting for W-2s and 1095Cs.
  1. Accounts Payable (10%):
  • Provide backup and cross training support to Accounts Payable Specialist.
  1. Other (10%):
    • Assist Grant Accountants with requests for supporting documentation as it relates to monthly reimbursement requests, monitoring visits, or other related grants documentation requirements.
    • Assist with the processing and distribution of year-end IRS Forms 1099, 1096, 1095, 1094, and W-2.

Qualifications

Minimum Education

  • Associate Degree in business or accounting, or equivalent work experience

Minimum Experience

  • Minimum 3 to 5 years relevant processing experience.

  • Multi-state payroll experience required

  • Familiarity with AmeriCorps programs a plus.

  • Must have knowledge of accounts payable and/or payroll systems practices.

  • Advanced knowledge of Excel

  • Able to effectively use database and accounting computer application systems.

  • Oracle NetSuite and UKG experience is a plus

  • Professional written and verbal communication skills.

  • Able to maintain high level of confidentiality

  • Meticulous attention to detail and number aptitude

  • Must be able to deal with frequent interruptions and have proactive problem-solving skills.

  • Professional demeanor, good interpersonal skills, self-motivated and customer service orientation.

  • Proven ability to work independently and as part of a team

  • Demonstrated ability to prioritize tasks and meet deadlines

  • Ability to create innovative solutions and processes and adapt easily to change

  • Strong quantitative and analytical skills including superior knowledge of Excel, Word and database programs.
