Operations Coordinator

Job Title:   Operations Coordinator

Reports to:  CEO & President

Job Type:   Full-Time / Non-Exempt

Location:  Coachella Valley (Palm Desert, CA)

Supervises: Bookkeeper & Office Coordinator

Primary Function: Responsible for supporting and managing the operations of Lift To Rise as an organization. This role will specifically oversee logistical support, administration, vendor and financial coordination. Assist in the development and coordination of strategic plans for operational activity. Implement, lead and manage general office operations and provide support for the Lift to Rise team.

RESPONSIBILITIES

Oversee logistics for Lift to Rise, including but not limited to: organizational planning and scheduling, assisting with legal compliance, vendor management, technology management, inventory and human resources administration.

Office Management

  • Ensure teams uniformly employ results-based agendas and tools in teamwork

  • Manage office and equipment leases, coordinate repairs and improvements with property manager as needed.

  • Coordinate the allocation of workspaces and oversee access and key distribution.

  • Support smooth functioning of office infrastructure including technical equipment and services.

  • Assist with planning and coordinating office events and meetings.

  • Develop and maintain the office’s safety plan and information for staff.

  • Assist with on-site coordination and oversight of resources and maintenance of internal files

  • Organize a minimum of one emergency evacuation exercise at office and other appropriate trainings.

Information Technology Oversight

  • Ensure compliance with IT protocols and procedures, IT procurement and asset management policy, acceptable use of IT resources policy, and password management for any and all software.
  • Serve as the office’s primary focal point and liaison for IT and communications infrastructure, hardware, and software matters.

Financial and Vendor Management

  • Manage relationships with suppliers and vendors, including external IT and HR agencies. Maintain up-to-date supplier and service provider records.
  • Serve as liaison to external accounting team
  • Ensure financial protocols are followed in general accounting, and oversee team budgets and expenses.
  • Oversee processes and procedures surrounding consultant and vendor contracts and invoices, in coordination with CEO and Accounting.
  • Communicate information and protocols from external vendors to staff members and assist in setting internal policies where necessary.
  • Provide accurate and up-to-date digital and physical inventory records for reporting purposes.
  • Other duties assigned as dictated by the needs of the organization.

QUALIFICATIONS

  • Experience working in diverse communities.
  • Ability and experience maintaining professional boundaries and confidentiality at all times.
  • Genuine commitment to resident and community issues, as well as to maintaining the integrity of the vision, mission, and values of Lift to Rise.
  • Ability to communicate effectively both verbally and in writing (including email, phone, and video conferencing).
  • Willing and able to travel as needed across the Coachella Valley and other locales: must have transportation resources available, valid state ID, and maintain a clean driving record

REQUIREMENTS

  • Bachelor’s degree plus a minimum of 3-5 years work experience in administration required (nonprofit administration preferred)
  • Demonstrated success with office management, vendors, and external partners and/or agencies
  • Proven project management and organizational experience with attention to detail and the ability to effectively manage and prioritize workflow to meet short- and long-term deadlines
  • Self-starter with the ability to prioritize, meet deadlines, keep commitments, and produce results in a fast-paced environment
  • Exceptional interpersonal skills and ability to train or teach others with clarity and flexibility
  • A passion and authentic commitment to justice and equity for people of all ethnicities, races, ages, gender identities, sexual orientations, economic circumstances, physical and mental abilities and characteristics, and philosophies.
  • Management experience preferred

PHYSICAL REQUIREMENTS

  • Able to communicate effectively
  • Able to frequently walk, sit, and perform other job duties in both indoor and outdoor environments; occasional travel may be required
  • Able to occasionally stand or operate a laptop or computer for extended periods of time
