About the Job

We are currently seeking a full-time Office Manager/Project Coordinator.  The desired candidate will be a detail-oriented individual who can provide office management, project coordination support, and corporate administrative support. The candidate will oversee operations for two offices located in West Denver and Boulder, CO.

Responsibilities

As Office Manager/Project Coordinator, your job functions will include, but not be limited to:

  • Office Management: Leading monthly office meetings, organizing and executing office lunches and events, communicating office information and news to staff, onboarding new staff relative to the office space and procedures, approving overhead purchases per the signature policy, and coordinating with other departments (Facilities, IT, Health & Safety) to maintain functional and safe work environments.
  • Office Administrative Assistance: Scheduling meetings, setting up conference space, ordering meals, maintaining office equipment and supplies, handling incoming/outgoing mail and packages, preparing expense reports, assisting with purchasing, arranging travel for staff, greeting visitors and serving as the local contact.
  • Corporate Administrative Assistance: Coordinating business card orders, maintaining an inventory of field gear and filling staff requests, supporting our Executive Assistant in executive team-directed projects, and supporting corporate gift orders and distribution.
  • Project Coordination: Supporting multiple project managers by assisting with project budgets, forecasts, funding requests, subcontract management, project deliverables, file maintenance, resource allocation, and scheduling.  You will also work closely with accounting staff to assist in the review and tracking of client invoices and accounts payable.

Qualifications

The ideal candidate will have:

  • A bachelor’s degree in business or economics
  • 2 to 4 years of experience in a similar position
  • A strong customer service mindset
  • Experience in a professional services environment
  • Software proficiency including advanced knowledge of MS Office products (Word, Excel, and PowerPoint)
  • Knowledge of Deltek® Vantagepoint a plus
  • Flexibility and willingness to take on non-routine tasks
  • Positive attitude and high degree of motivation
  • Attention to detail with time management skills
  • Excellent written and oral communication skills
  • A desire to grow both intellectually and professionally
  • Possess strong organizational abilities
  • Ability to work independently and within a multidisciplinary team of scientists and engineers
