A top environmental commodities trading firm is looking for an energetic Office Manager & HR Coordinator to cover a maternity leave from September to March (30h/week).

Office Manager & HR Administrator (maternity cover)
Position based in Brussels, Belgium

More about the role:
The job is for our Brussels Office, which currently has around 30 employees. We are looking for an energetic and well-rounded individual, who can manage a wide array of tasks and all aspects of the office administration, HR, and events organization.
What will you do:
Accounts payable - ensure that all invoices received by the Company and are related to general operations are properly approved, filed, paid on time, and forwarded to accounting.
Responsible for the follow-up with the office providers, namely office rental, insurance, parcel, telephone and internet, bank, courier, association memberships, etc., (an ongoing task)
Food, stationery, flowers, and ordering office supplies (once a week)
Collect and send materials/ contracts and other documents to VEF clients (once a week)
Responsible for assisting, and controlling the expense reports of all Brussels personnel (once a month)
Manage the annual warrant process
Responsible for coordinating Brussel’s payments (an ongoing task)
Planning the arrival of a new employee, coordinating the new equipment, and handing over the welcome pack, including activating new mobile lines, arranging new corporate credit cards, and providing new employees with an office key (during the week of arrival and upon arrival)
Ensure for all leaving employees, all equipment is collected, including laptop, monitor (if applicable), mobile phone, credit card, and office key; (on the day of leaving)
Send, register, and receive IT devices between hubs, keep inventory (occasionally)
Help IT department solve local issues (occasionally)
Organize visits to a notary, apostille if necessary (occasionally)
Assist marketing in the coordination of events, eg. catering orders, marketing agencies, etc. (occasionally)
Car management (an ongoing task)
Support relocation of staff in the office, visa, registration to commune, registration into the BE system, follow-up on working rights: holidays, bank holidays.
