Job Summary:
The Office Manager & Executive Assistant is responsible for planning and overseeing all administrative support and office services for the Li-Cycle. This includes travel arrangement and executive calendar management. The Office Manager & Executive Assistant is also required to maintain confidentiality and professionally interact with employees, management and all stakeholders of the organization. Other duties may be assigned as required.
Primary Responsibilities:
Provide direct administrative and maintain work schedules, calendars to APAC president.
Arrange travel accommodations for local team members, for required business trips in an economical and timely fashion, including air fare, hotel bookings, car rentals, etc.
Coordinate logistics of team programs including meetings, seminars, workshops, special projects, and events
Arrange and attend team meetings; take, distribute, and archive meeting minutes and/or diaries.
Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
Receive and screen all inbound telephone calls, e-mails, and visitors for the executive office.
Ensure adequate supplies of office stationery, general office supplies, office furniture, and other equipment.
Coordinate office seating arrangements for business units and with IT and HR coordinate and assign desks, phones, and other assets as required.
Manage janitorial, cleaning, repair, and maintenance service provider contracts and service level agreements.
Receive incoming mail and review, evaluate, and distribute priority correspondence for team.
Troubleshoot and/or escalate office administration issues.
Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons.
Perform other duties as assigned.
Job Qualifications:
Diploma or above degree in Business Administration, or relevant discipline, required.
5-7 years of direct work experience in an office management and executive assistant capacity.
Proven experience in executive calendar management.
Strong knowledge of Microsoft Office products, including Outlook, Excel, Word, and PowerPoint.
Strong written and verbal skills to communicate with all levels of the organization and its executive team.
Able to maintain filing systems, databases, and minutes management.
Excellent analytical and problem-solving skills.
Meticulous records maintenance skills.
Superior telephone manners and strong interpersonal skills.
Proven organizational and time management skills
