The Job

As our Administration Manager, you will be responsible for orchestrating the administrative function of our global operations at Triggerise. You'll focus on the optimization of administrative processes and systems to provide robust and user-centered support to our team. In addition to directly supporting the CEO and Supervisory Board, you will also have key leadership responsibilities within the team.

Key responsibilities will include:

  • Governance and Leadership Support: Manage administrative matters related to governance, organize board meetings, and provide executive support such as travel plans, calendar management, and event organization.
  • Procurement: Enhance procurement processes in collaboration with the Finance department, ensure smooth operations, and conduct quality checks on procurements and contracts.
  • Logistics: Oversee logistical processes related to travel and shipping, negotiate contracts with vendors, collect and analyze data, and lead the organization of international events.
  • Office Management: Handle practical management of our offices, ensure optimal physical working conditions for employees, manage local safety policies, and oversee supplies and other practical issues.
  • Local Admin Support: Oversee administrative support in South Africa.
  • Employee Experience Support: Provide administrative and logistical service at crucial points in the employee lifecycle and design processes to meet employee needs in creative and community-enhancing ways.
  • Office Tools and Asset Management: Ensure optimal use of global tools such as Asana, Slack, Google Suite, and oversee asset management in collaboration with the Tech and Finance teams.
  • Team Leadership: Lead and develop your team, create a positive working environment aligned with Triggerise's values, and stay updated on new developments in your field.

About you

You are a detail-oriented professional with an uncanny ability to spot the slightest inconsistencies in contracts and documents. Your eagle-eyed attention to detail and your knack for quick problem-solving are at the core of your administrative prowess. In addition to your remarkable administrative management skills, you possess a deep-rooted passion for creating streamlined, efficient processes that enhance the day-to-day operations of a workplace.

Requirements:

  • You are based in South Africa, preferably in Cape Town.
  • A minimum of 5 years of working experience in administrative management within a global organization.
  • Strong experience managing contracts and legal documents. A legal background would be advantageous, but not required.
  • Proven track record in managing logistical processes and procurement operations.
  • Strategic thinker with the ability to optimize processes and systems for efficiency and user-centricity.
  • You have prior experience in team management.
  • Experience in supporting executive-level roles, such as the CEO or the Board, would be a significant advantage.
  • Familiarity with office management tools such as Asana, Slack, and Google Suite is highly preferred.
  • You are a lifelong learner with eagerness to stay updated with new developments in your field and keen to learn our specific systems and processes.

Recruitment Process

  • An introductory call with our recruiter, which includes a 15-minute test (don't worry, the test is simple and short).
  • A first-round interview with our Chief People Officer & Chief Financial Officer.
  • A final round interview with our Chief Executive Officer.

The Rewards

At Triggerise we believe in being open, also when it comes to salaries. The monthly salary bracket for this position is R51,277 - R64,096 gross in South Africa, plus benefits. We will offer you a salary in this bracket depending on your level of experience and how it relates to your future colleagues.
