Job Summary
The Legal Support Specialist works closely with the HR, finance and compliance teams to ensure standardization in contract template management, contract review process, and overall serves as a liaison to our external legal firm for formalized legal advice when needed. This role is split into key functions including: managing the legal document library, contract drafting and review, and contact person with outside legal support We expect that success in the first 60-90 days will mean that you have onboarded, got familiar with general organizational operations, completed a first assessment of the current state, and developed a draft plan to set up a formal document control and contract review process. This position will report to the HR and Internal Systems Senior Manager.
Duties and Responsibilities
Template & Process Management –60%
· Develop a template control process for all legal agreements.
· Audit current approved templates, refine as needed and liaise with external firm to develop additional template agreements as business needs evolve.
· Keep internal staff up to date with contract review processes.
· Review current consulting and employment contracts for compliance across several jurisdictions.
· Primary liaise with our external legal firms for knowledge and document review;
· Manage contract and document library to keep most current versions for internal Team.
Contract Review – 40%
· Review complex agreements, including employment, commercial, vendor and consulting contracts.
· Draft internal agreements and contracts based on needs of the organization.
· Guide internal staff on contract setup and edits.
· Manage the signatory matrix.
· Process contracts and legal documents internally for proper signatures.
· Research and advise ways to better control version history and archive executed copies.
Minimum Experience and Qualifications
· 2 years document/contract review experience
· Experience in contract management technology a plus(Iron Clad, Concord, etc.)
· Knowledge of contractual agreements including financial, vendor, commercial, consultant, services, sales, licensing, etc.
· Ability to work independently in designing management programs and projects from design to implementation with input from a range of team members.
· A high attention to detail, careful organization, and clear communication style.
· Ability to work independently and collaborate effectively with the Textile Exchange remote team and key external stakeholders.
· Self-motivated with remote work experience. Must be able to work remotely/from home.
· Ability to lead and manage global projects.
· Excellent interpersonal skills, along with the ability to lead a team in a collaborative manner.
· Experience working with international, multi-cultural communities.
· A strong track record in achieving sustainable goals and objectives.
· Excellent written and verbal communication skills in English.
· Experience working with people from diverse backgrounds, perspectives, and cultures.
· Proficiency with Microsoft Office Suite and Office 365 tools
· Must be flexible to communicate with multiple time zones outside of standard working hours.
Preferred Experience and Qualifications
· A legal degree is not necessary for this role, but legal experience is preferred.
· Experience with certification and/or auditing agreements.
Employment Package
· Full Time Position, 40 Hours a Week
· Location: Virtual/Remote
· Salary Range: $55,000- $70,000 USD Dependent on experience
· Start Date: As Soon as Available
