About Kopila Valley Sewa Samaj (KVSS): “A world where every child is educated, safe, and loved” KVSS is a non-profitable NGO registered in Surkhet, Nepal to provide support for children and families in the community. Our mission is to change the world by empowering Nepal’s children. Our programs include a residential children’s home, women’s empowerment center, sustainability, school, health and wellness, and family development. We provide our students a free education, educational materials, health treatment and medicine, counseling, and a place to live. With our innovative future program, we strive to provide our children with career guidance, and scholarships for further studies. We do this with our funding partner BlinkNow Foundation and in close ties with the local government and communities.

Position Summary

Kopila Valley Sewa Samaj is looking for a Trainee to perform various administrative, operative and project support activities on a daily basis. With the aim of developing the capacity of fresh growing youth in the development sector. KVSS intends to provide the opportunity to work and learn with an experienced team member. The trainee should have patience and passion for working with children and disadvantaged groups. In this context KVSS invites applications for the traineeship with the following details. This is a one year program to develop local human resources, so applicant's from Karnali province are preferred.

Work Location: Birendranagar -1, Surkhet

Reporting to: Program Manager

Number: 1 Position

Contract: 1-year full-time position

Benefits: Monthly stipend allowance, festival allowance, On-site meals

Nationality: All Nepali citizens but local residence of Karnali province is preferred.

Criteria

  • Education: At least 10+2 in any discipline
  • Experience: Freshers are encouraged to apply, 1 year of related experience preferred.
  • Language: A good communicator, and fluent in English and Nepali
  • Skills and Abilities: Commitment, positive attitude towards children and communities, have clear personal career plan, self-motivated and learning attitudes, willing to commit on Kopila Valley’s vision, mission. Good on using Microsoft Office tools, software, & email.

The Main Responsibilities

  1. Support to the program team in implementation of general project activities.
  2. Support to program team for data entry and documentation
  3. Personal Career development plan

Detailed Responsibilities

1. Support to the program team in implementation of general project activities.

  • Create and maintain a work schedule as assigned by the Program manager.
  • Plan, facilitate and maintain training/workshop schedules, reporting in coordination with the Program Manager.
  • Complete all assigned tasks and assist with day-to-day operational activities.
  • Gain knowledge on organizational goals, program objectives, protocols, and processes.
  • Taking detailed notes and liaising with the program manager and other team members.
  • Fulfill any requirements and meeting goals set out at the start of the traineeship.
  • Follow all Organizational regulations, and child safety code of conduct.
  • Supports in managing activities (Workshops, awareness program, workshops etc).
  • Assist team members during home visits of students.

2. Support to the program team for data entry and documentation.

  • Primarily provide administrative support in the areas of information management and documentation.

  • Complete and maintain all required paperwork, update records, documentation, etc.

  • Supports office management, maintaining log books of materials in and out of office.

  • Supports keeping meeting minutes, entries in software, maintaining files, typing hard copy information in google sheets.

  • Helps in coordination with other team members (Managing calendar and appointments).

  • Self-initiation to learn and develop a career.

  • Excellent time management, task prioritization and result oriented.

  • Work with a multicultural team and cope with time pressure.

  • Participate in the meetings, workshops, and other learning opportunities.

  • Observe and learn from experienced staff members.

  • Learn about conflict resolution and sitting in on disciplinary hearings.

  • Study and observe functionality of organizational HR & Finance policies.

Additional expectations

  • Build positive working relationships and environment in the organization by bringing solutions to the discussion table.
  • Demonstrate professionalism in all interactions and execution of duties including ensuring confidentiality as per the organization’s protocols.
  • Report to the manager on a weekly basis, and as needed in case of urgent activities.
  • Demonstrate strong work ethics, compassion, and professionalism and exhibit a high level of integrity towards the organization.
  • Arrange and attend regular staff meetings both within and outside the Health & Wellness team.
  • Communicating regularly, this includes responding to messages and emails promptly.

The above list of responsibilities is not comprehensive, and the Trainee may be required to take on additional responsibilities, as determined by his/her manager.
