HROD Coordinator CEE/CIS/ME (f/m/d) -Part Time
Location: Vienna/Austria
WorkLoad: 20 Hours per week
Mission of the position:
The Human Resources & Organisation Development Coordinator supports the Director of Human Resources & Organisation Development CEE/CIS/ME in the smooth and efficient administration of tasks deriving from the position description, from the regional department plan as well as overall tasks deriving from the area of work from the Director of HROD.
Tasks and Responsibilities:
- Direct support to HROD Director. Back office support for HROD administration tasks (personnel folders), assistance in terms of meeting preparation, stakeholder communication, ICT, team coordination & appointments, information management and documentation.
- Workforce and FTE management. Administration of CEE/CIS/ME employees in Microsoft D365 Human Resources (entry/exits, updates, FTE budgeting). Monthly checking of workforce reports, keeping an overview on FTEs in the region.
- Meeting organization. Organization and follow-up of virtual and physical meetings for the HROD department, HROD Conference and different meetings related to new employee onboarding. Administrate/organise weekly virtual team meetings (telcos) incl. minutes, technical hosting and etc.
- HR Administration. Responsible to coordinate SOS ring of honour process/ceremonies from Member Associations. Monitor anniversaries of employees and coordinate process according to guidelines. Coordinate "Harvesting" applicants from CEE/CIS/ME
- User Management – Virtual Collaboration. Responsible to administer email accounts of employees CEE/CIS/ME in the SOS user management system in the role of HR contact. Responsible for the content management for HROD on different workspaces in the role of a Virtual Collaboration key user.
- Coordinating Contact Person (CCP). Responsible in the role of Coordinating Contact Person (CCP) regarding the internal registry of data processing activities (visa letters, passport scans, SOS mother rings) for the ICL department.
- Organizational Development. Responsible to update the organizational chart in alignment with the supervisor and share with CEE/CIS/ME employees.
- Responsible within own area of work to raise awareness of the SOS Child Protection Policy principles and to prevent and protect children from all forms of abuse, abandonment, exploitation, violence and discrimination
- Responsible to report any Child Safeguarding suspicion, concern, allegation or incident immediately following Child Safeguarding reporting procedures. CS reports should be made to the IOR CS focal person and/or to the respective line manager
Requirements**:**
Essential
- University degree in Human Resources, Law or related studies
- 5 years working experience in a related position including HR administration, executive assistance, meeting organisation, office management.
- Fluent in written and spoken English language skills. German language skills on independent user level
- Computer literacy: Proficient in Microsoft Office, Microsoft Excel knowledge on intermediate level
- Willingness to learn and work in HRMS systems
- Attention to details, team mentality and a positive attitude
- Excellent organizational and time management skills
- Excellent verbal and written communication skills
Desirable
- Work experience in virtual collaboration (MS teams, Zoom), intercultural team coordination
- Working experience in HRMIS systems
