“A world where every child is educated, safe, and loved”. Kopila Valley Sewa Samaj is a non-profitable NGO registered in Surkhet, Nepal to provide support for children and families in our community. Our programs include a residential children’s home, women’s empowerment center, sustainability, school, health and wellness, and family development. We provide our students a free education, educational materials, health treatment and medicine, counseling, and a place to live. With our innovative future program, we strive to provide our children with career guidance, and scholarships for further studies. We do this with our funding partner BlinkNow Foundation and in close ties with the local government and communities.
Position Summary
The Human Resource Officer is a Surkhet based position and will be responsible for executing day-to-day HR activities and support the HR Manager to strengthen KVSS and Kopila Valley School (KVS) HR practices. You will also work closely with your line manager and department heads to craft and upgrade job descriptions, publish job vacancies and sourcing candidates.

Must Haves
Education: Graduate in Management (HR Specialization Preferred)
Experience: At least 2+ years of proven HR Management experience in a similar role
Language: A good communicator, and fluent in English and Nepali
Skills and Abilities: Ability to manage, good communicator, passionate about and cares for children and vulnerable population; initiator, and competent in using any HR systems and tools. Works collaboratively and independently with the least supervision required.
The Main Responsibilities
- Support HR Manager on development of HR initiatives and systems
- Lead HR record keeping/documentation, HR database management and HR Analytics
- Lead publishing job vacancies, sourcing and assisting HR Manager on the full recruiting process.
Detailed Responsibilities
Support HR Manager on development of HR initiatives and systems
- Support professional development of the team members in line with the organization's culture and ensure that the team members are following policy and procedures.
- Ensure that the team members follow the organizational systems and tools to the highest standard and are working across teams effectively to drive the organization forward.
- Work closely with other functional leads, relevant team members from funding partners to establish an inclusive, productive, and trustworthy environment in the organization.
- Support HR manager on employee’s performance appraisal process and take action to improve overall performance.
- Internalize and support HR Manager to lead the change management for continuous improvement in the organization’s performance.
- Support HR Manager on implementing training and development in the organization.
- Assist on development and implementation of HR Policies, SOPs throughout the organization.
- Provide support to employees in HR related issues and resolve any issues that may arise.
- Ensure compliance and legal regulations.
- Identify trends, opportunities and needed changes in the organization’ HR strategy and systems and offer insights to the manager in decision making process.
- Lead the health and safety of the employees, institutionalized through policies and practices.
- Ensure that the employees are used-to with organizational systems like BambooHR, Asana, Slack, Google Platform, and other management tools.
Lead HR record keeping and documentation
- Create robust employees personal record file, ensure all employees have required documentation on file.
- Manage accurate and proper record-keeping of employee information in electronic and digital format.
- Coordinate with relevant department leads and ensure employee attendance and leave record keeping properly.
- Maintain a proper HR database, analyze data with useful HR Metrics and share that to the HR manager in a timely manner.
Lead publishing job vacancies, sourcing and assisting HR Manager on the full recruiting process.
- Support to prepare job descriptions, advertising vacancies, and managing the employment process.
- Support in the onboarding process for new employees.
- Support HR Manager on the entire recruitment process and maintain proper documentation following recruiting SOP.
- Coordinate with media, advertising agencies, recruiting agencies to publish job advertisements and ensure proper talent pool to proceed with the screening process.
- Support HR Manager on post hiring activities like induction and onboarding talents.
Additional expectations
- Build positive working relationships and environment in the organization by bringing solutions to the discussion table.
- Demonstrate professionalism in all interactions and execution of duties including ensuring confidentiality as per the organization’s protocols.
- Participate in regular 1:1 meeting, and report to the manager on a weekly basis, and as needed in case of urgent activities.
- Build and maintain a strong relationship with the leadership team of KVSS/KVS and BlinkNow Foundation to ensure the continued success of our joint projects.
- Attend staff meeting periodically and share operational updates.
