Description
The Office Coordinator is responsible for supporting the Office Management team. As a team member he/she is assigned to support the smooth operation of the office environment. The main scope of the position aside budget, tasks, and projects, is to be key person for generic internal communication flow from content generation to execution. This includes event management, support of general wellbeing of the employees at both physical locations. The office Coordinator is also responsible for maintaining operational liaison with vendors and participating in the coordination of maintenance and Facility Management.

Your responsibilities:
- Support the Office Management at both of the physical locations of Centre of Excellence Hungary.
- Support and coordinate the optimal working environment for all employees by providing full maintenance services as well as safety conditions
- Assist with AP and sourcing cooperation, tendering, PO requests, invoice management, office and facility-related purchases, and cost monitoring
- Resolving office building problems and serve as a first point of contact between employees and outside contractors
- Organise and provide full support for organizing events that are wider audience than just 1 functional team at internal or external premises
- Operational support of office management related software’s, ensuring parking and desk booking is flawless also for external counterparties
- Ensure the proper operation of the reception and client area to improve client satisfaction
- Participate in the coordination of Facility Management
- Maintain mobile phone and parking fleet management, support the employee onboarding and offboarding process
- Create a pleasant working environment that inspires the teams
- Further tasks not involved in this Job Description that the immediate leader/manager assigns with verbally or in writing.
- Follow EHS rules and warn others to follow the rules and immediately report the incidents and near misses as required
Your profile:
- College or university degree from an accredited university in Economics, Logistics or International Trade
- At least 4 to 5 years of relevant experience in office management tasks, preferably at a multinational company
- Proficiency in MS Office applications like Outlook, Excel, Canva or similar graphic designer program
- Excellent interpersonal, presentation, and inspirational skills with a strong customer focus
- Strong oral, written and telephonic communications skills both in English and Hungarian
- Pro-active and proven approach to structured problem solving
- Excellent communication skills, also in technical context and sometime complex situations
- Self-motivated, and ability to handle multiple priorities
- Ability to perform in a team environment – team player
