We're searching for an organized, proactive individual to play a pivotal role in overseeing a varied range of operational, administrative and organizational tasks at All Out, including managing inquiries from the general public, supporting our program activities, keeping documentation up to date, and organizing scheduling, travel and event logistics for our team and Board.
This role demands a keen eye for detail, exceptional organizational and prioritization skills, and the ability to communicate effectively and compassionately across teams and geographies.
The General Administrator sits within the Operations Team and reports to the Senior Manager of Operations, Finance. This role should be based in Central America or Brazil.

The salary range for this role, not including benefits, is $25,000 - $29,000 annually. A salary offer for a candidate’s specific location will be shared during the recruitment process prior to interviews.

Responsibilities**:**
Operations
- Oversee team meeting and time off calendars, supporting staff and Board in scheduling and changes whenever needed,
- Support in research, costing and booking for team or Board travel and events,
- Maintain organizational record-keeping by updating organizational trackers and ensuring consistency in filing systems,
- Update general pages of the All Out website when needed,
- Oversee communications that come through All Out’s general Contact Us online form, responding to inquiries, technical issues, triaging to other team members and maintaining standard responses.
Program Administration
- Conduct due diligence for recipients to Grassroots Giving and Emergency Fund programs, reviewing documentation and gathering references.
- Track and gather reporting from past Grassroots Giving and Emergency Fundraiser Partners by grant agreement deadline.
- Support in data collection, compiling messaging benchmarks and premium fulfillment.
- Assist campaigns team in proofing emails and landing pages, and other administrative tasks as needed, including publishing facebook ads.
Essential skills and experience:
- A demonstrated commitment to human rights and people powered change as a path toward progressive change;
- At least 2 years of professional experience. Experience in operations or administration is strongly desired, with a preference for those who have experience working for a nonprofit organization;
- Meticulous attention to detail, well-organized and able to retain information;
- Flexible thinker who has ability to proactively check their own work for accuracy and problem solve;
- Excellent verbal and written communication skills, with ability to show empathy and compassion;
- Demonstrated interest in expanding knowledge and skills related to operations, HR and finance;
- Cultural sensitivity and the ability to work effectively with a diverse set of people of different nationalities and cultural backgrounds;
- Fluency in verbal and written English.
Desirable skills:
- Additional language skills in Spanish, Portuguese, German or French are a plus;
