The Finance Assistant is responsible for maintaining efficient and timely financial supporting documents for Vientiane and field office. The FA is also responsible for ensuring that all financial dealings meet international, donor and Lao PDR standards in addition
KEY DUTIES
- Assist checking documents and cash advance payments according to ChildFund in Lao policies
- Monitor and follow up with projects staff to do cash advance acquittal on time
- Assist holding cash and preparing Cash Advance (CH) & Advance Clear (RV) vouchers before making the payments
- Obtain the approval on CH & RV payments according to the delegation of framework
- Provide information to Project Finance Officer (PFO) monthly for new assets purchase and new suppliers
- Prepare and maintain project expenditure transaction and sent to PFO as requires
- Maintain filing systems for all accounting and financial documents sent to PFO, Financial paper records and file in accordance with prevailing procedures
- Scan supporting documents and upload to OneDrive system monthly for the expenditure cost from Xamneau field office and Vientiane Office.
- Assist to translate the documents such as quotation, invoice, receipt and other related documents as assigned by Line Manager.
- Assist to upload and entry the transaction to the Financial System.
- Assist to review and check for correction monthly ledger
- Provide support to the project staff to prepare budget planning request as requires
- Prepare monthly report to PFO
- Ensure purchasing procedures are followed and that documentation is in order.
- Support office errands including running documents, buying supplies, and ensure the office runs smoothly (as requires)
- Prepare financial report for project team, provides advice on Monitoring and expenditure to the projects staff
- Prepare monthly and annual expenditures reports for project team and provide an update to the project team
- Prepare requests for direct payment and requests for advance to project operating account
- Performed on monthly basis on bank, expenditures reconciled against project budget.
- Assist to prepare working plan, budgets and estimates of the project quarterly expenditure
- Ensure all documents has been translated Lao-English, English- Lao
- Assist other program tasks if any
QUALIFICATIONS & EXPERIENCE

University qualification in accounting or finance or related area

Minimum of 1-3 years experiences in a similar role;

Experience of Accounting, Financial tasks; fluency in English and Lao (including typing skills);

Computer literacy required including MS Office and email, Excel, MS Teams, usage;

High levels of initiative and able to manage multiple deadlines;

Careful, accountable, responsible, punctual and committed to transparency;

Committed to the aims of ChildFund in Laos;

Able to maintain confidentiality within the role

Flexibility and willing to support the overall

Driving license for car and motorbike.

Qualification in a related field
DESIRABLE
- Previous experience in a medium or large sized NGO.
- Other relevant language skills.
- Communication and facilitation skill;
- Adaptability and flexibility.

Employment: Full-time, Initial one year employment agreement, with option to extend upon mutual agreement
Reports to: Project Finance Officer
Other Information: Must have criminal background check before joining the organisation
The position is based in Vientiane Capital, with regular travel to target villages within Xamneua District, Huaphanh province.
