Hivos is seeking qualified candidates for the position of Finance Assistant
The Finance Assistant will assist in the day-to-day financial transactions for Hivos regional Office and implement financial monitoring and compliance systems in line with Hivos financial policies and procedures and donor requirements.
Your responsibilities
- Assist with initiation of all administration and project disbursements ensuring compliance with Hub SAF Financial policies and procedures and statutory requirements
- Assist with settlements of monthly obligations in respect of outstanding Hub SAF service providers (including creditors reconciliations)
- Assist in inputting of all invoices in All Solutions ensuring use of correct charge and ensuring that costs are sufficiently funded (within budget)
- Assist with monthly processing of the payroll allocations in All Solutions operational
- Assist in recovery of staff debtors and accounts recoverable
- Assist with recovery of pending trip advances in accordance with Hub SAF policies
- Assist in ensuring that overall cost allocations within All Solutions operational ensuring that all costs are booked in the relevant unit and own project and processing of cost distributions to reallocate costs
- Assists with quarterly reconciliation of the Head Office current account
- Assist in maintaining database of financial and accounting requirements & procedures and shares knowledge
- Assists with the maintenance database of financial and accounting requirements & procedures and shares knowledge
- Assist with the compilation of periodic project financial reports for (timely) submission to donors (inclusive of consolidation of Hivos and partner costs) for the projects running in Hivos.
- Assist in checking of projects and travel advance retirements in All Solutions & processing allocations
- Assist with Financial capacity assessments for partner organisations
- Assist with ensuring compilation of the year-end Financial report, preparation of audit and facilitation of external audit
- Assist in Financial inspections for partner organisations
- Compilation of Monthly financial reporting to Hub SAF management and Quarterly reporting to Head Office.
Your profile
- Relevant Finance Degree in finance or Equivalent
- Relevant work experience: at least 2 years
- Work experience in an international environment.
- Good Analytical skills
- Work experience in budget design and control and project accounting.
- Excellent organisational, writing, analytical and administrative skills
- Self-motivation and enthusiasm and ability to work under own initiative
What we offer

The Regional office is based in Harare, Zimbabwe. This position will be based in Harare, Zimbabwe. Hivos welcomes International & Regional applicants but can only offer a position to only those with a valid work permit for Zambia. Hivos can only offer employment on local terms and conditions.
