Nonviolent Peaceforce (NP) reimagines security and civilian protection in areas most impacted by conflict by working alongside communities to interrupt and prevent violence. NP is a global civil society organization that works with people affected by violent conflicts to enhance their security and dignity through Unarmed Civilian Protection (UCP) and by helping to transform the world’s response to conflict situations. Programming is founded on unarmed civilian protection and is thematically focused on protection in displacement, child protection, gender-based violence protection and inter-communal violence reduction, social cohesion, and civic engagement.
NP first established a presence in Ukraine in 2014/2015 working on peacebuilding and conflict mediation. NP has had a sustained presence in Ukraine since April 2022. NP occupies a unique space in the protection response in Ukraine; simultaneously providing direct protection to at-risk civilians and providing hands-on support to front-line volunteer collectives to directly contribute to the sustainability and safety of their actions.
JOB PURPOSE
The objective of this position is to provide operational and monitoring support to the field teams under the direction of the Team Leader. This includes logistical, administrative, finance, and monitoring support. As with all field staff, the FPO will contribute information regarding security and general context updates. The FPO provides administrative support to the team and is tasked with ensuring the Field Office and assets are equipped, maintained and secure. In addition, the FPO supports in monitoring and evaluating project’s outputs and outcomes.
KEY OBJECTIVES/RESPONSIBILITIES
A. Logistics, Administration, HR
Be a liaison between Team Leaders and Operations, Logistics and Finance Departments on operational and logistical needs for the field sites, including staff movements, procurement and financial and administrative needs;
Prepare finance packages and ensure full correct, authorised documentation;
Produce and monitor HR and Admin documents and systems for all field staff;
Support directly with logistical needs when necessary, including travel, procurement, handling transfer of goods and documents, etc.;
Oversee the functioning and maintenance of the NP field office;
Coordinate fleet management and travel plans with the Logistics Department.
B. Programmes
Assist the teams with updating activity reports on Salesforce and providing timely data for reports and updates to donors;
Assist Team Leader in monitoring and evaluating project’s outputs and outcomes;
Provide written and spoken translation support, including translation of NP training materials into Ukrainian;
Support the field teams with coordination when cases cross different sites, and coordination of programming activities;
Complete other tasks to support project implementation as required by the Team Leader;
Alongside field team members, establish and maintain relationships with all relevant stakeholders.
C. Safety and Security
Act as security focal point for the field team – receiving and providing information from/to the Safety and Security Advisor (SSA) and the field team;
Act as the safety focal point, to support the Team Leader to ensure the Minimum Operational Safety Standards (MOSS) are met;
Support the Team Leader with maintaining situational awareness on safety and security issues;
Conduct monthly safety checks in accordance with the MOSS.

PERSON SPECIFICATION
A. Education, Knowledge and Experience
Degree or a diploma in business administration or related field, or one to two years related experience and/or training; or equivalent combination of education and experience;
Minimum of a Holder of Advanced Certificate of High School;
2-3 years working in an NGO or similar administrative position in another organization
Excellent spoken and written English skills;
Understanding of the humanitarian context in Ukraine and basic administrative and HR practice of international organizations
Fluent in spoken Ukrainian/Russian and able to translate between Ukrainian and English;
Proficiency in basic computer applications, including Microsoft Word, Excel and email;
Willingness and ability to use creative problem solving on a daily basis;
Demonstrated commitment the work of Nonviolent Peaceforce;
Demonstrated ability and experience to work in a team;
Appreciate and maintain confidentiality and non-partisanship at all times, including when not working;
Strong critical thinking and problem solving skill;
Ability to network and build relationships with the government, civil society and community partners.
