Location: The successful candidate should be based in or around Amsterdam, as the role requires physical presence in the office. Ideally we are looking for someone starting as of start of July 2023, until mid November.
Greenpeace International Facilities team is looking for a Facilities Specialist to join the team for 4.5 months (ideally starting 1st of July 2023 and staying until 12th of November 2023) to provide a sabbatical cover for the current team member. It is a great opportunity for someone looking to learn more about Greenpeace International office and various things that need to happen to keep things running smoothly.
The GPI Facilities department provides a range of services to GPI Staff both in the Amsterdam office as well as to dispersed staff and visitors of the GPI Office. The Facilities Specialist proactively provides advice and support for these facility services in an efficient, sustainable, inclusive and safe way and is the Travel and Ergonomic Specialist within GPI .
In this role you will:
Manage office building and spaces: support GPI staff and visitors of the GPI building regarding the services of the facilities department, maintain good relationships with the maintenance companies and suppliers, schedule the repairs when needed, keep the complete office space in line with health and safety requirements - all of this in order to ensure a safe and pleasant working environment and optimal use of GPI office space.
Make sure staff working from home have access to the right tools (such as a chairs, monitors, etc) in order for them to work from home pleasantly and safely.
Facilitate events in the office (i.e. Bar nights, ect.)
Act as GPI’s travel specialist for all business travel for GPI staff, freelancers and guests. This might include advising staff on the most cost effective and sustainable ways of travel, developing and updating the necessary Travel manuals, user account management and related tasks.
Act as the prevention officer (‘Preventiemedewerker’) for GPI and as Ergonomic specialist: provide ergonomic advice to GPI staff, both in the office and to staff working from home (note that there is a training opportunity available if you have not yet worked with this).
Provide GPI staff with mobile phone support, set up and hand out phones for GPI staff in line with the GPI Mobile phone Policy and the IT security policy, and respond to all phone related queries.
Support onboarding: make sure necessary equipment and access is ready when a new member of staff starts at GPI, and host onboarding and induction meeting for new staff.
Budget and invoicing support - create purcahse orders in fFnance system and monitor for Facilities related invoices and contracts. Might also assist with management of facilities credit card.

Professional education or relevant experience in Facilities Management (or similar experience amounting to this level)
Successful track record in Facilities Support, preferably in an international environment
Experience in an advisory role in International Travel
Experience as ‘Preventiemedewerker’ and holder of the Certificaat Prevention officer (or being willing to take the course to get certified)
Experience with Cloud based office solutions e.g. Skedda and KDS
Fluent in English and Dutch, both verbal and written.
Strong organisational and communication skills
Service minded
Strong attention to detail, problem solving skills, inventive and creative attitude.
Having a first aid certificate (or willing to take the course)
Sustainable mindset: always looking for the most sustainable solution
Flexibility
Ability to maintain a pleasant professional attitude whilst under pressure
Demonstrable support for and belief in Greenpeace’s core aims and values.
