The Executive Assistant to the Chief Digital Officer is responsible for a broad range of activities involving the timely and confidential performance of administrative duties including executive support, extensive travel/meeting coordination, project support and event planning.

Essential Duties/Principal Responsibilities:

  • Act as the central hub for the Chief Digital Officer.
  • Own and maintain the Chief Digital Officer’s calendar, serving as gatekeeper for incoming meetings and speaking engagement requests. Assist the executive in prioritizing daily tasks.
  • Provide dependable support for intricate and confidential matters, including executive calendars, travel arrangements, expenses, shared drives, websites, and meeting documentation.
  • Coordinate and plan meetings, web conferences, and calls by collaborating with relevant departments, coordinating participants, creating agendas, and arranging necessary equipment.
  • Apply independent judgment to accommodate modifications and last-minute changes while providing active meeting support.
  • Assist the team with various administrative duties, such as travel coordination, invoice handling, expense reporting, and special requests.
  • Coordinate timely communication of requests, issues, and other items.
  • Help organize team-wide meetings and activities.
  • Be accessible outside normal business hours and on occasionally on weekends to support the department’s unique demands.
  • Work closely with other Executive Administrators globally and provide back up support for other administrators if needed.
  • Be prepared for periodic check-ins with questions/agenda items ready to discuss.

Minimum Qualifications: Education, Experience, Skills, Abilities, License/Certification:

  • Undergraduate degree or equivalent experience required
  • 5+ years of administrative experience supporting Executives and their department of a publicly-traded company with a global scope

  • Position requires excellent judgment, discretion, and problem-solving skills, and the ability to interact with many cultures and seniority levels in a global organization.
  • Ability to maintain high degree of confidentiality, with professional maturity and the ability to function independently and to work collaboratively.
  • High-energy self-starter who is adept at managing multiple projects with simultaneous time sensitive deadlines.
  • Ability to manage projects to completion, track actions, maintain up-to-date spreadsheets and drive projects to completion.
  • Attention to detail in project planning, execution and documentation.
  • Strong organizational abilities, including the aptitude to prioritize task, manage resources and meet deadlines.
  • Strong communicator with presence, tact and diplomacy; comfortable working with executives, employees and external partners at various levels and from various geographies.
  • Results-oriented and self-directed; ability to deal with complexity and ambiguity; embracing of change.
  • Commitment to sustainability, including diversity, equity and inclusion.
  • Superior technology aptitude and advanced proficiency in all Microsoft Office applications including MS 365, Outlook, Word, Excel, PowerPoint, Teams, Visio and SharePoint, as well as Zoom.

SALARY**:**  The estimated salary range for this position is $80,000 to $100,000 plus bonus.   Starting pay is dependent on multiple factors, such as skills, experience and work location, and is not typically at the top of the range.  At Xylem we offer a competitive compensation package with a generous benefit package, including Medical, Dental, Vision plans, 401(k) with company contribution, paid time off, paid parental leave and tuition reimbursement.
