Mission

The CEO Office provides the CEO and Executive Board with key support in driving forward the strategic goals of the SOS CVI federation and the GSC. Members of the CEO Office understand the CEO’s and EB’s objectives at a level that allow them to represent the CEO’s viewpoint and anticipate operational and tactical needs in service of the General Secretariat’s role in shaping, safeguarding and serving the federation. The CEO Office serves as a critical conduit between the GSC and its diverse internal and external stakeholders and directly oversees management support, the project management office, and risk and crisis management.

The position holder provides an extensive level of support to the CEO, e.g. manages operational and administrative aspects and ensures coordination with the department and functions within and outside of the portfolio of the CEO. The role is an important communication interface between various stakeholders.

The incumbent understands the required level of confidentiality, effectiveness and efficiency required to enable the CEO to maximize their time, productivity and impact.

The position holder organizes meetings and participates in them when relevant for the function or to provide support.

The position holder also supports the Head of CEO Office with preparation of key documents and presentations as needed.

Tasks & Responsibilities

  • Supports the CEO by managing their calendar and organizing their business engagements and trips
  • Supports the CEO to fulfil financial and administrative requirements.
  • This includes monitoring of travel and credit card expenses of the CEO, managing the CEO’s expense claims and liaising with Finance department in Innsbruck where required.
  • Organizes and supports the preparation of meetings for the CEO. Maintains a calendar and participates in meetings within SOS Children’s Villages International to help with facilitation when relevant for the function.
  • The incumbent support the Head of CEO Office with preparation of key content for documents, presentations and the team’s presence on Sharepoint as needed.

Requirements

  • A minimum of 2 years of proven relevant professional experience
  • Experience as an assistant to a high level management position would be an advantage
  • Excellent organising and planning skills
  • Advanced English communication skills
  • Full computer literacy, MS Office Tools
  • Strong budget management skills
  • Strong English skills (written and verbal). Spanish and/or French would be desirable
  • A valid Austrian working permit or eligibility to work within the EU
