RESPONSIBILITIES
The Executive & Admin Assistant supports the day-to-day operations and management of the physical and remote office and the agency and manages the President’s schedule and use of time.
This role is part-time (approximately 20 hours per week) and LA-based.
Specific responsibilities will include:
Office management
- Procure, disburse, track, and ensure proper and effective function of all equipment and software necessary for the agency's work. This includes meticulously managing inventory, troubleshooting issues promptly, and researching and recommending upgrades to enhance productivity.
- Manage the operation of our physical office space by proactively liaising with building management to address facility needs, expertly managing the procurement of office supplies, streamlining parking logistics, and maintaining a pristine, well-organized workspace that reflects our professional standards.
- Lead the project management of all agency-wide gatherings and events (retreats, parties, etc.).

From initial concept to execution, coordinate logistics, budgeting, vendor relationships, and attendee engagement to ensure each event achieves its goals and objectives and aligns with our organizational culture.
- Effectively collaborate with other internal teams.
- Enable and ensure the successful remote engagement of all our employees and partners by implementing effective technology solutions, facilitating virtual collaboration, and providing ongoing support to optimize productivity, communication, and teamwork regardless of location.
Executive support
- Efficiently manage the President's schedule by prioritizing appointments, meetings, and commitments, avoiding scheduling conflicts, and ensuring ample time is available for strategic decision-making and core responsibilities.
- Lead all business-related travel arrangements for the President, including booking, itinerary development, and on-the-ground logistics to allow the President to focus on their mission-critical objectives.
- Accurately track and record the President's hours and activities to support effective time management.
This position reports to: Chief Operating Officer
QUALIFICATIONS
- Experience supporting the management of a mid sized office of ~20-50 employees in both remote and in-person environments.
- Proven experience managing a principal's calendar and travel logistics.
- Experience and fluency utilizing Google Drive, Slack, and Zoom.
- Strong interpersonal skills with diverse stakeholders at all levels.
- Proactive problem-solver.
- Understanding and knowledge of innovative office management and collaboration softwares and services.
