Job Summary
The Events and Education Coordinator will specialize in event registrations, communicate with attendees providing one-on-one support and timely responses to questions, while being service-oriented, and provide general event and education support. The ideal candidate is curious, self-motivated, and professional. Success in the role will depend on attention to detail, a high degree of organization, resourcefulness, and good communication. Strong written and verbal communication skills in English is a must. Like all roles at Textile Exchange, the role will be primarily home-based. Textile Exchange is US-based, remote-working organization with a global team.
Duties and Responsibilities
Lead on all registration functions for Textile Exchange hosted events, including webinar registration.
Support/Follow-up with team members to register for internal and external events they are attending or speaking at, as needed.
Timely, service-oriented responses to attendees regarding registration questions.
Provide on-site Check-in area oversite at hosted events.
Coordinate with Speaker Liaison to communicate with and follow-up with Speakers to get them registered in a timely manner.
Coordinate with Membership team to follow-up with members on pass-code usage.
Coordinate with Sponsor/Exhibitor Coordinator to follow-up on pass-code usage.
Coordinate with Travel Coordinator to support with team lodging requirements.
Coordinate with the Salesforce Manager as required to ensure all registrations are accurately recorded and processed.
Update passcodes in the reg system for new members, sponsors, exhibitors, etc. as needed.
Provide timely and impeccable frontline service to attendees from first contact through to the end of the event.
Provide Visa invitation letters to team members and attendees as needed; be aware of destination requirements and communicate with Embassies as required to ensure timely processing.
Lead on name badge process for events and workshops (in coordination with graphics team and external venders).
Invoicing, payment processing, and recording receipt of event fees.
Maintain registration program and be primary point of contact with vendor.
Provide monthly registration stat reports to the Senior Strategy Team, including webinar registration stats.
Maintain a working knowledge of priorities and follow-up on key deadlines, deliverables, and action items until completed.
Provide other event, education, and training support as required, especially during non-peak seasons.
Ability to setup, rearrange, and tear down event space (moving tables and chairs, etc.).
Minimum Experience and Qualifications
Proven experience in project management and, preferably, experience working in a global organization.
Excellent computer skills including advanced proficiency in Microsoft Excel, PowerPoint, Word, Teams, and the ability to quickly learn new systems.
Experience with Salesforce, preferred.
A driven individual with a strong work ethic, initiative, and high degree of autonomy.
Highly attentive to detail with strong organizational and planning skills.
Able to hit the ground running, experience working in a fast-paced and demanding environment.
Motivated, energetic, determined, and with strong interpersonal skills.
Highly literate, with excellent written and grammatical skills in English.
Able to produce a high standard of work across all forms of media.
Honest, professional, responsible, discreet, and confident at all times.
Employment Package
Reports to: Events and Education, Director
Full Time Position, 40 Hours a Week
Location: Virtual/Remote
Salary Range: $35,000 - $45,000, dependent upon experience
Start Date: As Soon as Available
