JOB ANNOUNCEMENT

Sacred Heart Community Service, located in San José, CA, is looking for a temporary, part-Time, Non-Exempt, DI and VITA Program Assistant in the Economic Justice Network in the Self-Sufficient Department. DI & VITA Program Assistant supports the Volunteer Income Tax Assistance (VITA) Program and our Digital Inclusion program which includes the basic computer classes. This individual must be highly organized, possess an ability to work flexibly and creatively, and have a passion for our mission – to change lives and impact poverty. For over 58 years, SHCS has been one of the leading institutions addressing poverty in Santa Clara County through a strategy that combines meeting basic needs, offering tools for self-sufficiency, and engaging the wider community to be involved.

RESPONSIBILITIES AND DUTIES:
Program Management (70-80%)

  • DI: Manages the recruitment, enrollment, and Teaching of/Supervising of basic computer classes onsite and at offsite partners. Monitors all ACP enrollment.

  • DI: Coordinate class schedule, promotor assignment and data tracking

  • VITA: Assist with scheduling tax appointments including response to all incoming inquiries, reminder calls to ensure adequate show and document submission rates.

  • VITA: Intake specialist and reviews all tax forms, accurate completion and assigns members to volunteer.

  • VITA: Ensure completion of the electronic filing process for all tax applications.

  • Collaborates with the EJN coordinators and other Self Sufficiency programs to strengthen the recruitment and retention of participants in the digital inclusion and VITA programs.

Outreach and Engagement (5-10%)

  • Coordinates recruitment efforts with promotores for DI and VITA programs

  • Supports volunteer engagement for DI and VITA programs

  • Oversees and coordinates referrals to and from other internal departments and external partners

  • Assess members’ eligibility for ACP and VITA services

Leadership (5-10%)

  • Supports the core values of the organization by engaging members in our collective efforts.

  • Maintain strong and professional communication with volunteers and promotores

  • Co-lead volunteer schedules, including translation services for in-person appointments/classes

  • Onsite supervisor when coordinator is not available

  • Refers program participants to committees

Administrative (5-10%)

  • Data input into Salesforce, Google Docs and Slack

  • Reports to management weekly DI retention percentages and VITA no-show rate

  • Performs other duties as assigned.

REQUIRED:

  • Proof of full Covid-19 vaccination

REQUIRED QUALIFICATIONS AND EXPERIENCE:

  • Strong commitment to our vision of a community united to ensure that every child and adult is free from poverty.

  • Outstanding customer service skills. Strong communication skills, including the ability to deliver difficult messages with compassion and to communicate respectfully with families in stressful situations.

  • Flexible, compassionate, and supportive attitude. Ability to thrive in a flexible, fast-paced environment, while maintaining a positive, solution-oriented approach.

  • Ability to work collaboratively in a team environment and to work independently with limited supervision when necessary.

  • Computer skills including proficiency in MS Word, Excel, Power Point, Google Suite and ability to quickly learn and develop proficiency with tracking database systems.  Computer literacy with proficiency in MS Word, Excel, and PowerPoint required.

  • Must be able to lift up to 25 pounds without assistance. Ability to lift up to 30 lbs. with assistance and up to 50 lbs. with assistance. The position requires computer use/walking/sitting/standing for 6 hours per day. The physical demands described here are representative of what an employee encounters while performing the essential functions of this job. Reasonable accommodations can be made to enable individuals with differing abilities to perform the essential functions.

  • Must be available to work evenings and weekends.

  • Must complete a DMV and complete background check, and qualify to be insured under SHCS driving policy.

PREFERRED QUALIFICATIONS AND EXPERIENCE:

  • Read, speak, and write in English and Spanish.

  • Experience providing culturally competent, supportive services, and linkages to community resources.

  • Positive attitude with great organizational skills.

REPORTING RELATIONSHIP:

The EJN: DI & VITA Program Assistant reports to the Economic Justice Networks Manager.

COMPENSATION:

This is a temporary (December, 2023 - April 30, 2024), non-exempt, and part-time position paying $25/hour. This position does not provide SHCS-sponsored benefits except as required by law.
