PURPOSE OF THE POSITION
As a senior member of Supporter Relations, you will lead and manage the Administration & Payments Team. Your excellent organisational skills will drive efficiency in our processes and ensure all supporter administration activities are undertaken effectively and efficiently to ensure a high quality supporter experience. You will provide ongoing training to staff, and be deadline driven, managing the processing of public donations on a daily and monthly basis.
KEY DUTIES
- Manage the Administration & Payments Team, undertake training, and oversee professional development of staff.
- Collaborate with the Supporter Care Manager and Head of Supporter Relations to prepare workplans and annual schedules of activities.
- Advise the Head of Supporter Relations on staff resourcing for in-bound calls, and other customer service activities for supporters.
- Manage the data import process, ensuring high levels of quality control and acting as a trouble-shooter.
- Support the Marketing, Finance, and Systems and Decisions Support Teams to increase automation of processes.
- Monitor the database system and all payment run processes, to ensure they are running as planned.
- Train and support volunteers and temporary staff to effectively manage their workloads.
- Be an expert point of escalation and reference in relation to complex supporter queries and payment processes or issues.
- Manage external suppliers including print houses, direct mail companies, and Australia Post.
- Process invoices through organisation Finance system (Sage)
- Keep track of print orders for budget processes
- Provide documentation for Auditors on a yearly basis
- Support any on-demand project work, and ensure resources are in place to manage seasonal variations in fundraising activities.
- Promote and integrate gender equality, disability, and social inclusion into day-to-day work.
- Remain alert and responsive to any child safeguarding or sexual exploitation, abuse or harassment (SEAH) risks, acquire relevant knowledge and skills to promote strong safeguarding practices, understand the child safeguarding and PSEAH policy and procedures, and conduct yourself consistent with those policies.
QUALIFICATIONS & EXPERIENCE
- Minimum 5 years’ experience in supporter or customer relations functions.
- University education in a relevant field or equivalent workplace experience.
- Strong track record in systems, e.g., Salesforce, Boomi and Vonage.
- Strong track record in data management and analytics.

- Strong team player with the ability to build relationships internally as well as externally
- Proactive and takes ownership
- Effective under pressure, results oriented, with strong planning skills and attention to detail
- Able to work autonomously, multitask and meet deadlines
