Overview
World Wildlife Fund (WWF), one of the world’s leading conservation organizations, seeks a Development Coordinator, Trusts and Estates.
Major Function
This position supports the Trusts and Estates team by performing a variety of standard and occasionally complex administrative duties, such as the processing, organization, receipt and reporting of all testamentary gifts to WWF. The coordinator is also responsible for supporting the smooth functioning of the team and its activities using demonstrated administrative and organizational skills, a working knowledge of the estate administration process with a basic knowledge of WWF programs and policies.
Responsibilities
- Receive, open, log, and scan all incoming mail. Sort and distribute incoming mail to Deputy Director and Trusts and Estates Sr. Specialist.
- Begins the process tracking trusts and estates where WWF is a beneficiary; this includes initial review of correspondence, creating new estate/trust files, following up on requests for wills or other required documentation, answers inquiries and triages the large volume of T & E correspondence for efficient handling, noting matters in the database as appropriate,
- Establishes and maintains department files, including opening new files, filing correspondence, keeping files organized and up to date. Also responsible for closing existing files, arranging and tracking files for offsite storage.
- Creates and monitors various reports for the estate administration function to measure and track results toward goals and updates reports/lists as needed, serving as the team’s point person on data and reporting matters.
- Performs other duties as assigned.
Qualifications
- A bachelor's degree or equivalent experience is required. At least two years of demonstrated success in a law office, non-profit or other organization. Experience in planned giving or estate administration is preferred.
- Working knowledge of wills, trusts, and other financial planning documents is preferred.
- Ability to use word processing and spreadsheet software to create documents and maintain logs. Experience working in CRM database is also preferred.
- Strong organizational and analytical skills to manage workflow for supervisor(s) and ongoing projects.
- Good grammar and proofreading skills needed.
- Basic interpersonal skills requiring courtesy and tact necessary to effectively communicate with staff, callers, and visitors; ability to work as a member of a team.
- Ability to take initiative, prioritize, meet deadlines and complete work with minimal supervision.
- Ability to operate standard office machines and equipment.
