The Forward Trust Personal Wellbeing Services deliver a range of interventions within Probation services across Bedfordshire, Cambridgeshire, Essex, Norfolk, Surrey, Sussex, Lincolnshire, Kent and Cheshire. Delivering a range of services under the following categories: Family & Significant Others, Lifestyle and Associates, Emotional Wellbeing and Social Inclusion as a fully integrated, holistic, single service. Supporting the wide range of needs that Service Users experience in relations to relationships and interactions with family, friends and others. Supporting clients to engage in a variety of activities to enhance their Well-Being. We will be providing a flexible, responsive service, delivering a holistic and cohesive set of interventions that are easily accessible to this client group.

What you will be doing?

The Administrator is responsible for providing a comprehensive business administration service to support the Personal Well Being Services.  The service is designed to deliver services in the following categories, Family and Significant others, Lifestyle and Associates, Emotional wellbeing and Social Inclusion. Services are for ex-offenders coming out of prison or on community orders directly referred by Probation.

Main duties will include:

  • To work with Microsoft Excel, Word, Outlook and any other identified systems.
  • Data inputting onto Forward Trust and MOJ systems
  • To be responsible for answering the general office telephone and dealing with enquiries as appropriate. Using own initiative when dealing with a range of subjects in a courteous and efficient manner, whether in person, writing or telephone, always taking client confidentiality into consideration.
  • To assist with filing and maintenance of PWS administration records in an orderly and user-friendly system.
  • To co-ordinate and liaise all relevant communications between Head Office and the Project.
  • To coordinate attendance and invite letters, along with maintaining the programmes databases.
  • To take minutes in team meetings when required
  • To liaise, where appropriate, with relevant prison and Probation departments.
  • Order stock items and maintain adequate supplies of stationery and other office consumables. Investigate and pursue quotations for management attention. Order individual non-stock items ensuring that Forward standards and Guidance are strictly adhered to. Also to ensure that all office equipment is in working order.
  • Engage positively in team meetings and supervision sessions as required
  • Opening and distribution of external and internal post, ensuring outgoing mail is delivered to the post room in a timely manner.
  • To maintain confidentiality and data protection principles, raising any issues with the Line Manager

What we are looking for?

  • An intermediate certification or demonstrable experience in Microsoft packages.
  • Experience of providing administrative support within a large team, demonstrating ability to work in a pressured environment.
  • Experience of accurately collating statistical information, with an attention to detail and report writing.
  • Experience of developing, implementing or maintaining large databases and managing administrative tasks associated with them.
  • Previous experience of working within a confidential and/or secure environment.
  • Can work in fast paced changing environments.
  • Has confidence in own abilities and good eye for detail.

This includes eligibility for Costco Wholesale Individual, allowing people for a small fee to become members access to wholesale prices.

    This benefit was designed to be limited to employees of the emergency services, but the HR team have negotiated the right for FT employees to be considered eligible. We would provide a letter to any applicant to support their membership, but they will be responsible for paying the nominal membership fees themselves, so no direct financial cost to FT
