POSITION PURPOSE:
A versatile position at a nonprofit that wants to make it simple for anyone to help the environment by planting trees. Together we can restore forests, create habitat for biodiversity, and make a positive social impact worldwide.
Primary Responsibilities and Role in the Organization Summary:
The CRM Manager is primarily responsible for the proper day-to-day functioning of the CRM. This includes administering Salesforce CRM and connection to different platforms, workflow creation, customizations to enhance functionality, reporting, answering queries from the team, technical troubleshooting, dashboard creation and maintenance, and record maintenance. The role also includes improving processes across various teams within the platform, data administration (i.e. ensuring the information in the platform is accurate; creating reports) and the connection with applicable apps (i.e. Airtable). This position will be responsible for allocating and overseeing the flow of funds to projects to ensure they’re fully funded, as well as overseeing high-level project development with project managers. This position will support the projects team with contracts, invoices and coordinate with finance to ensure payments are made on time.
Reporting Relationships
ESSENTIAL FUNCTIONS
CRM Management: 80%
Responsible for proper day-to-day functioning and administration of the Salesforce CRM and applicable apps, workflow creation, customizations to enhance functionality, reporting, answering queries from the team, technical troubleshooting, dashboard creation and maintenance, record maintenance
Ensure that all incoming donations are adequately captured and associated with promised regions or reforestation projects.
Mapping out and maintaining various modules for the most efficient processes per team (i.e. modified page layouts/fields to add for modules)
Organizing more efficient workflows for various teams
Creating various reports and dashboards for team members, as appropriate, while conceptualizing new reports that could help the teams (ex. Donations Dashboard, Account Management, Project Funding)
Creating new Products/Projects in the CRM as new projects are added – linking to Shopify products if we add them to the website
Mapping products to appropriate reforestation projects so donations flow to and fund the projects directly
Finding appropriate apps to enhance the user experience for Salesforce users
Linking appropriate accounts/reports for teams within external apps (ex. Airtable Donor Portals)
Ensure the successful integration of Accounting Seed, and other associated and connected systems (Airtable and others) to make sure all systems and platforms work seamlessly, accurately and sync on time
Fixing issues that arise with this software. Anticipating problems and challenges and implementing solutions in advance whenever possible
Pro-actively addressing potential issues in data entry or flow scheduling
Training new team members on this platform
Keeping track of funds within the “Pending Buckets”
Setting up automation
Running our Sandboxes to test new key features/implementations and moving this to our Production environment when ready
Defining and adjusting the team requirements for each of their modules
Tracking payments from third-party platforms
Project Funding and Operations Support: 20%
Facilitating funding conversations for Projects Approval calls including preparing reports based on past/current trends for regions/locations to take on new projects
Allocating donations to active reforestation projects from “Pending Buckets” to make sure all reforestation projects are fully funded
Reconciling Airtable and CRM records (funding statuses, planting dates, etc.); making sure all information across platforms is accurate and uniform between platforms along with project managers.
Helping the Fundraising and Marketing teams focus on which projects are in need of funding
Tracking available funds in “Pending Buckets” and funding levels for/with Project Managers to be able to find new projects as needed
Create reports for projects to be able to update donors - final reports.
POSITION REQUIREMENTS:
EDUCATION: BACHELOR’S DEGREE
RELATED EXPERIENCE: 3 years of relevant experience in a related role and being a self-starter. Experience in CRM management, preferably Salesforce CRM platform. Experience with a non-profit organization and remote environments a plus
SKILLS
Experience in basic set-ups and development of corporate-level CRM programs and campaigns
Strong analytical skills coupled with project management and planning skills
Reporting experience to board or executive management
IDEAL LOCATION: Montreal, open to remote.
COMPENSATION & BENEFITS
COMPENSATION: Typical starting range is $65,000 - $75,000 CAD/ USD, which will be based on skills, experience and location. Annual performance increase may be available but not guaranteed.
