About the role
The goal of the Program Coordinator is to lead our community development, global public health and educational programs while guiding and training the participants. At GVI Phang Nga we are involved in teaching English to all ages in formal and non-formal settings. Our public health programs consist of early childhood development checks, health checks and awareness workshops. Everything we do is driven by the needs of our community.
The role entails assisting with daily operations of base and volunteer management, alongside project planning and development. On a day-to-day basis you will be responsible for overseeing the volunteers, scheduling & logistics for project work, teaching classes as needed, maintaining social media, keeping records of project work, delivering training and orientations for new volunteers, and acting as a role model for the whole team. The role will enable the candidate to develop both professionally and personally in a supportive and inspirational environment.
This is a mid-level position, designed to allow the right candidate to develop leadership, management and community development skills, accelerating their career in sustainable development while offering an amazing opportunity to create real impact in the field. For the right candidate this could develop into a long term career, with the possibility of rotating to one of our many global locations, depending on performance and vacancies available at the time.
Role and responsibilities:
Impact
- Continuously monitor and review the local and global impact of our programs, ensuring they stay in line with GVI values and are productively working towards the UN’s 17 SDG goals.
- Complete monthly impact reports for impact directors
- Develop programs to ensure we create positive impact sustainably and ethically.
- Coordination of GVI’s Global Charitable Programme within the Phang Nga Hub
- Ensure our programs have a measurable and quantifiable impact.
Health and Safety
- Ensure all H&S practises are being followed to a high standard and the necessary actions are taken should they not be.
- Ensure GVI’s child protection policies are implemented and maintained.
- Incident reports are completed, signed, and submitted or filed in a timely manner to a high standard.
- Inform Program Manager of all serious incidents and near misses immediately.
- Ensure Risk Assessments are carried out, reviewed, and signed off by all participants, staff, and visitors when delegated.
- Ensure sign out boards are being used effectively by all participants.
Participant and Staff Management
- Manage and coordinate all who fall under your direction.
- Motivate and support your participant team to a high level.
- Manage conflict and complaints from all parties effectively and communicate all such issues with the Program Manager either immediately or via your weekly report depending on the urgency.
- Act as an enthusiastic role model for participants and junior staff, providing guidance and mentorship.
- Attend regular meetings with staff for feedback and training purposes, including a start-of-contract review, and end of contract review with the Program Manager.
- Ensure all participants are completing their duties to the necessary standard and taking the appropriate actions if they are not.
- Discuss any disciplinary procedures with the Program Manager or Senior Program Coordinator before taking action to ensure correct protocol is being followed.
- Assist in teaching English, covering classes and community activities when volunteer numbers are low.
- Continuously offer hands-on training to develop staff members and participants.
Logistics
- Ensure all day-to-day logistics run smoothly such as project transfers, schedules, activities, etc. and report any issues or changes required to the Senior Program Coordinator or Program Manager.
- Help coordinate activities for our participants and ensure all details are communicated to the participants in a timely manner.
- Welcome all newly arriving participants and ensure they feel a part of the GVI Family from Day 1.
Communication
- Attend formal staff meetings.
- Send a weekly report to the Program Manager or Senior Program Coordinator.
- Attend weekly 1-2-1 meetings with the Program Manager or Senior Program Coordinator, lead 121’s with your direct reports.
- Always keep the Program Manager and Senior Program Coordinator well informed on project developments or potential issues.
- Ensure all communication channels are kept open and used effectively by yourself, your staff team, participants, and project partners.
- Keep good communications and relations with local project partners, seeking out feedback and assuring that GVI programs are in line with partner objectives, and assist with development of new partnerships as needed
Media
- Ensure the staff team and participants are collecting high quality content and media on a regular basis.
- Oversee all social media output, adhering to the latest GVI Live Manual and recommended frequency of posting.
- Compile and maintain a stockpile of up-to-date, high-quality photos and videos for social media & monthly/quarterly reporting purposes.
- Compile records of interesting stories or events involving GVI that can be used in reports and newsletters.
Finances
- Ensure expense sheets are filled and submitted correctly.
- Keep the Program Manager aware of any potential large expenses related to project and base. Acquire quotes first where necessary.

You are happy to step outside of your comfort zone and to move away from the traditional 9-5; this role is a lifestyle and not just a normal job! You must be resilient and adaptable, staying calm in sometimes challenging situations.

You are willing to learn, always ready to absorb new information and skills, consolidate this knowledge and in turn pass these skills on to new participants.
Professional skills and experience:
Required
- TEFL Qualification or equivalent (if you do not have a TEFL qualification, please still get in touch as training can be provided for the right candidate).
- Passion for volunteer management, community development, teaching and global public health.
- Ability to lead by example and facilitate a collaborative team.
- People-centric mindset - comfortable with being ‘on’ 24/7.
- Experience managing groups/participants/students (we will provide all project specific training in-country)
- Fluent in English reading & writing with good ICT & social media skills.
- Enjoys spending time with participants, with a warm, confident, engaging and nurturing personality.
- Clear effective communication skills that cater for the diversity of staff and participants, manage large groups, and speak publicly with confidence.
- Ability to manage multiple projects and participants concurrently, manage complex timetables of work, and meet tight deadlines.
- Effective problem-solving skills, and an ability to be flexible, adaptable and resilient.
- Understanding of ethical, inclusive practice and commitment to following GVI’s expectations and standards.
- Willingness to continuously learn and develop as a member of the GVI team.
Advantageous
- A good understanding of NGO and international development approaches and values, including the United Nations SDGs.
- Emergency First Response certified/trained.
- Previous GVI experience.
