About the role

GVI Charitable Programs is seeking a dedicated and organized Charity Administrator to join our team. The Charity Administrator will play a critical role in providing administrative, financial, and communication support. The successful candidate will be passionate about making a difference, detail-oriented, and able to multitask in a fast-paced environment.

Role and responsibilities:

  • Coordinate Trustee meetings, take minutes, and distribute agendas.
  • Contact alumni of GVI as required to introduce them to GVI Charitable Programs and get them involved in awareness raising and donation raising.
  • Update GlobalGiving pages with current fundraisers and submit any necessary compliance information.
  • Provide program managers with a summary of donations received and chase any reports as required.
  • Serve as a liaison between GVI and GVI Charitable Programs to ensure effective communication between the two organizations and alignment.
  • Support fundraising activities by maintaining donor records, processing donations, sending tax-deductible receipts, and assisting with grant applications.
  • Respond to inquiries from volunteers, donors, partners, and the public in a timely and professional manner.
  • Assist in the creation of promotional materials, newsletters, and social media content.
  • Maintain the website and keep information up-to-date.
  • Maintain up-to-date contact lists for stakeholders and distribute relevant information as required.
  • Assist in the preparation of reports for internal and external stakeholders.

Compliance and Reporting

  • Ensure compliance with relevant laws, regulations, and policies, including data protection and privacy.
  • Coordinate and support internal and external audits as required.

About you

  • Outstanding interpersonal and communication skills (verbal and written) with the ability to connect with candidates and team members across the globe
  • Effective team player with a growth mindset, and a strong desire to help people
  • Technologically savvy - with the ability to manage job ads across different digital platforms as well as learn new applications and software
  • High sense of urgency, with the ability to multitask, prioritize, high attention to detail and organize yourself effectively
  • Flexible, adaptable self-starter who is proactive and always open to innovating and trying something new

Professional skills and experience:

  • At least 2 years of experience in an administrative role, preferably within a non-profit or charity organization.
  • Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks.
  • Excellent communication skills, both written and verbal, with a high level of proficiency in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM software.
  • A passion for making a positive impact and a strong commitment to GVI's mission and values.
  • Experience with graphic design, social media management, or event planning is desirable.
