Position Overview:
The Associate will play an important role in ensuring that the administration of the Executive Office runs smoothly. The Associate will report to the Executive Assistant to the Chief Executive Officer (CEO) and will work closely with Rare’s Chief of Staff, the CEO, and the President.
Key Responsibilities:
- Provide a wide range of administrative and project management support to the Executive Assistant, Chief of Staff, and other members of the Executive Office
- Assist in the preparation of meetings; take detailed minutes of meetings and note all follow-up actions that are required
- Prepare communications as requested, including memos, emails, invoices, reports, and other correspondence
- Process expense reports and timesheets, ensuring that they are submitted on time and are compliant with current policies
- Create and maintain filing systems
- Manage and coordinate special projects as assigned
Qualifications:
- Superb attention to detail and the proven ability to execute highly detailed tasks
- Proven ability to handle sensitive and confidential matters in a responsible manner
- Exceptional time management and organizational skills
- High level of proficiency with Microsoft Outlook, Word, and Excel
- Excellent written and interpersonal communication skills
- Willingness and ability to work flexible hours on an as-needed basis to serve the needs of a global organization operating across several time zones
- Initiative to take on new projects and continually exhibit a proactive attitude towards all tasks
- Fluency in written and spoken English required; proficiency in other languages preferred but not required
- Enthusiasm for Rare’s mission and respect for its values, culture, and people
- Experience working in a non-profit organization is preferred
- Experience supporting board meetings and events is preferred
- Prior experience working or living in an international, cross-cultural environment is preferred
