IWPR is looking for an administrative assistant for its journalism projects across Latin America and the Caribbean. This person will report to the Regional Journalism and Media Programs Manager and will collaborate directly with project coordinators, participants, and IWPR administrative area to organize virtual and in-person events, manage software/online tools, databases, and e-learning platforms, and contract and manage technical consultants when needed, all in strict observance of the organizational accounting and procurement policies.
DUTIES AND RESPONSIBILITIES:
- Organize virtual and in-person events, including flight, accommodation, meals, technology, and venue reservations and logistics, event-related outreach and follow-up, coordination and communication with participants, coordinate development of digital and print material, taking meeting notes, and any other related aspects.
- Assist in contracting and managing consultants, including journalism trainers and technical consultants to perform specialized tasks and/or changes in the online platforms.
- Collect participant feedback after virtual and in-person events, in coordination with project managers.
- Keep a record of the financial information associated with virtual and in-person events and other work by consultants, in strict adherence to IWPR’s accounting policies.
- Perform other administrative tasks, such as documentation management, monitoring payments, and other activities that may emerge.
- Assist in the management of the LAC office’s software/online tools, databases, and e-learning platforms, including procurement processes.
- Assist in providing training and support to the LAC office staff and consultants, partners, beneficiaries, and other stakeholders on the proper use of software/online tools, databases, and e-learning platforms.
- Assist in monitoring and maintaining oversight of online tools use by IWPR’s staff and participants.
Profile and other specifications:
- Studies in administration, communication, administration of institutions, accounting, or related areas.
- Proven experience of at least 1 year organizing events and performing administrative functions in public or private initiatives or in civil society organizations.
- Basic knowledge of project management and accounting records.
- Capabilities of design, integration and feeding of online platforms and databases of diverse nature.
- Excellent handling of basic Office packages (Word, Excel and PowerPoint).
- Knowledge of social, economic, political and security issues in Latin America.
- Ability to work with goals and deadlines.
- Ability to work as part of a multidisciplinary team.
- Ability to resolve conflicts, work under pressure and by objectives.
- High capacity for order, efficient time management, synthesis and assertiveness at work.
- Spanish. Excellent oral and written expression, and active listening.
- English. Strong speaking, reading, writing and listening skills are desirable.
- Willingness to adapt to the required security measures (digital security knowledge desirable).
- Availability to travel.
