EXECUTIVE AND TEAM SUPPORT
This hybrid role is 20 hours per week (4 hours per day) on a 12-month contract with the potential to become permanent.
THE OPPORTUNITY
This role will support our Executive Director with planning and administration, lead our contact data base management, and step in as needed for special events and project planning. The ideal candidate has a passion for working with purpose, strong project management skills and a high degree of comfort with technology.
This position will support smooth running of systems and processes to help our team maximize impact. This position is available for the right team member with the option of working flexibly from home or from the Toronto office. The Executive and Team Support position will be accountable to the Executive Director with responsibility to support Program Directors and Managers.

- Experienced in providing executive administrative support
- A disciplined project manager
- Experienced virtual and in-person event planner
- Will enjoy improving our systems and processes
- Able to problem solve independently and willing to seek support when needed
- Able to multi-task efficiently in a fast-paced, unstructured environment
- Tech savvy, open to learning new tools
- Experienced with email marketing tools (e.g., MailChimp, Dot Digital)
- Experienced with Salesforce, Zoom, MS Office
- Familiarity with WordPress (preferred but not required)
- Bilingual, French and English (preferred but not required)
Role and responsibilities include:
1. Supporting the Executive Director
- Managing Executive Director’s calendar
- Supporting Executive Director with day-to-day tasks
- Supporting research for partnership development and engagement
- Making suggestions to improve the Ashoka internal & external processes
- Leading contact database management on Salesforce
2. Supporting the Team
- Managing the team calendar
- Supporting external communications through email and social media
- Leading Salesforce implementation across the organization
- Creating and updating reports, proposals, and presentations as needed
- Creating manuals for digital tools and processes
- Supporting in-person and virtual activities and events
- Supporting financial documentation processes
- Managing Toronto Office (info email & office phone)
