Agency Relations Associate

POSITION SUMMARY

The primary objective of the Agency Relations Associate (ARA) is to provide support to the Boynton Beach office and the Agency Relations team. Responsibilities will include receiving and directing visitors to the proper service channel, and assisting the Agency Relations Coordinators with administration, agency compliance, and agency solutions. The ARA will support the Agency Relations Manager in maintaining positive relationships with our Partner Agency network.

POSITION RESPONSIBILITIES

  • Provide coverage and support at the main desk of our Boynton Beach facility.
  • Greet and guide guests to the proper service channels.
    • Visitors
    • Volunteers
    • Client choice pantry participants
    • Culinary event attendees
  • Receive and log packages.
  • Provide referrals to individuals and agencies as needed.
  • Handle Partner Agency inquiries by telephone, emails, visits, and/or correspondence
    • Provide excellent customer service and seek to improve all Partner Agency relationships.
  • Ensure Feeding South Florida guidelines and policies are met by Partner Agencies including:
    • Feeding South Florida Guidelines
    • Feeding Florida Guidelines
    • Feeding America Guidelines
    • Inventory Control and Distribution Procedures
    • United States Department of Agriculture (USDA) Guidelines
  • Monitor Agency Relations activities and requirements and communicate requirements under Agency Relations guidelines to Agency Relations process owners.
  • Maintain, review, and update Partner Agency files, licenses, inspections, and permits to ensure compliance.
  • Communicate with Partner Agencies to submit their reporting via Meal Connect, Oasis, etc.
  • Assist interested parties in the application process for becoming a Partner Agency
  • Coordinate and schedule training for Partner Agencies, including orientation and onboarding, USDA, programs as required.
  • Assist in readiness for all audits of Feeding South Florida regarding agency files and accounts.
  • Assist in planning and executing agency-related events including retention and distribution events.
  • Communicate with potential and existing Partner Agencies to identify opportunities to participate in various programs and distributions.
  • Assist with timely and accurate reports, including spreadsheets, presentations, and narratives as required.
  • Assist and collaborate with Agency Relations, Transportation, and Allocations teams to connect our Partner Agencies with donor stores for our Retail Direct Drop and Store Donation Program
  • Assist with timely documentation of outcomes for our various program deliverables.
  • Perform research on current trends in the food banking industry.

Job requirements

POSITION QUALIFICATIONS

  • High School Diploma or equivalent required.
  • College degree preferred.
  • 2 years of customer service experience.
  • Excellent customer service and communication skills, including verbal and written communication.
  • Attention to detail, accuracy, and deadlines.
  • Ability to ensure policies and guidelines are adhered to.
  • Ability to take initiative and see projects through to completion.
  • Sensitivity to diverse populations with the ability to serve people in a compassionate, patient, friendly, and courteous manner, showing sincere interest in people’s concerns.
  • Ability to manage time efficiently and to work independently with minimum supervision, but also the ability to collaborate cooperatively with other staff, volunteers, and agency personnel.
  • Ability to work under pressure in a demanding environment with multiple deadlines and responsibilities, while simultaneously maintaining composure and ensuring excellent customer service
  • Demonstrate professional, assertive, and responsible behavior.
  • Strong computer skills with proficiency in Microsoft Office Excel (intermediate level and above), Word, PowerPoint, Teams, and Zoom)
  • Positive attitude, flexibility, and a good sense of humor
  • Bi-lingual preferred. (Spanish, Creole, Portuguese)

PHYSICAL DEMANDS & WORKING CONDITIONS

  • Hours of Operation: Organization hours are Monday-Friday, 8:00 a.m. – 5:00 p.m., this position may work additional hours occasionally throughout the year, especially during peak times such as holiday seasons, and disaster response.
  • Environment: This position works in an office setting with varying periods of standing, talking, and/or visual concentration, and use of office equipment. Must maintain office safety standards. Occasional work will occur in the warehouse or outside in fields and warehouses in inclement weather. The noise in the work environment is usually moderate to loud.
  • Travel: Feeding South Florida serves four counties so there is often same-day travel between the counties, using a personal vehicle, and occasional out-of-town travel for meetings, conferences, or special events.
  • OSHA Standards Lifting requirements are 50 pounds and when lifting loads heavier than 50 pounds, use two or more people to lift the load.
