The Role: Smith-Blair, a Xylem brand, seeks to hire an Administrative Assistant to provide confidential analytical and administrative support to the Operations team including Human Resources and Finance departments. We are looking for an individual who is efficient and has the ability to multi-task, while maintaining confidentiality which is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
Essential Duties/Principal Responsibilities:
- General Office duties.
- Coordinates activities between departments and outside parties.
- Gathers information and prepares reports.
- Work is generally of a critical or confidential nature.
- Distribution of incoming and outgoing mail.
- Coordination of visitors including ordering supplies and lunches.
- Filing, sorting, copying and maintaining records in one or more databases.
- Providing administrative support to special projects such as cycle counting, annual inventories, system by tracking data, scanning materials, compiling data, copying and filing.
- Employee access database and badge card printing.
- Running weekly and monthly reports.
- Payroll backup and attendance tracking.
- Training support and recordkeeping.
- Other assignments as they occur in various functional areas
- Participation in Xylem Watermark volunteer activities.
Minimum Qualifications: Education, Experience, Skills, Abilities, License/Certifications
- High School diploma; Associates (+) degree desired.
- 100% confidentiality.
- Working experience in an administrative position of 3-5 years.
- General office skills – good organizational skills – work well in fast paced environment
- Proficient in MS Office (Excel, Word, & Outlook)
- Must have good and effective written and verbal communication skills.
Physical Demands:

- Light lifting (10-20 lbs.), office environment with some exposure to manufacturing production floor.
